The Practice
Located in the heart of Fitzroy, a team of specialist obstetricians and gynaecologists has cultivated a supportive and collaborative environment for both staff and doctors, ensuring the highest quality care for their patients. Each specialist is backed by a dedicated PA, who works as part of a cohesive administrative team under the leadership of a dedicated Practice Manager.
The Role
This role is an excellent opportunity for an experienced Personal Assistant or Medical Secretary to join a supportive administrative team.
Key responsibilities include, but are not limited to:
* Managing diaries, scheduling appointments, handling appointment confirmations and rescheduling as necessary
* Ensuring accurate and confidential maintenance of patient records
* Processing patient accounts, including billing and receipting, using Genie and Eclipse
* Coordinating theatre lists and surgical bookings
* Communicating with hospital staff and healthcare providers to facilitate patient care, discharge planning, and follow-up appointments
* Performing general administrative and office tasks including attending to emails, correspondence, faxes & scanning of documents
About You
We are seeking an experienced Personal Assistant or Medical Secretary with a strong background in surgical practice administration and proficiency in Genie software and Eclipse. You have exceptional attention to detail, handling patient billing, liaising with health funds and Medicare, and ensuring meticulous follow-ups. A solid understanding of medical terminology, particularly in obstetrics and gynaecology, is highly desirable.
Candidates must have a minimum of 1-2 years experience in surgical practice administration.
Australian work authorisation is required for this position.

Salary & Work Arrangements
We offer a competitive hourly rate of $36 – $40 per hour + Super, negotiable based on experience. This role is available on a permanent part-time basis with the flexibility to accommodate a full-time option if preferred. You will be supported by a dedicated and collaborative team, working alongside specialists who are at the height of their clinical careers in a truly rewarding environment.
