Primary objective
Provide a high level of administrative and executive support to the Senior Executive Director, Energy Development and
undertake administrative projects for the Energy Development division.
Key duties and responsibilities
1. Analyse correspondence to the Senior Executive Director, Energy Development, and initiate and monitor progress on
correspondence, projects and tasks allocated to ensure deadlines are met.
2. Anticipate needs, coordinate and provide administrative assistance with relevant papers/briefings prior to meetings.
3. Prepare correspondence of a routine nature for approval.
4. Liaise with and respond to enquiries from the Minister's Office, members of the public and all levels of staff to provide
appropriate advice on Departmental functions and activities.
5. Provide high-level organisational support for the Senior Executive Director, including diary management and coordination
of travel and external engagement.
6. Assist with the efficient day-to-day administrative operation of the executive support area by developing and maintaining
appropriate procedures and systems when required.
7. Provide routine financial, procurement and administrative support to the Energy Development division.
Selection criteria
Essential
1. Proven ability to provide high-level administrative assistance at an executive level or in similar fast-paced professional
environments.
2. Demonstrated personal, interpersonal, written and oral communication skills, which result in being able to communicate
professionally, tactfully and effectively at all levels, with the ability to handle confidential and sensitive matters.
1. Highly developed written and oral communication skills with a high degree of accuracy and attention to detail,
demonstrated experience in preparing complex correspondence and papers.
4. Demonstrated organisational and time management skills with the capacity to prioritise competing requirements, work
under pressure, and meet critical deadlines while maintaining quality end product.
5. Proven ability to work independently and as part of a team, use initiative, adapt to change and be self-motivated.
1. Extensive knowledge in computer systems including word processing, spreadsheets, email, records management,
database and major business systems.
7. A sound knowledge of the principles of equity and diversity, occupational health and safety, and records management.
8. Demonstrated experience in financial and procurement processes, including payment of invoices.
Desirable
1. Ability to quickly acquire knowledge of the department's structure, functions and corporate objectives.
1. Knowledge of ministerial, Cabinet and parliamentary processes.
