To find out more about NDS, please visit our website at https://nds.org.au Description About the Role: Location: Sydney Working Arrangement: Hybrid (at least 1 day in the office per week) Hours: Full-time, 5 days, 38 hours per week Status: Permanent Industrial Instrument: Non-Award Key Responsibilities: Manages Conference and Events Team Leads by example and develops strong collaborative relationships across the many NDS teams Coordinates work distribution across the team and is responsible for internal reporting. Contribute to the achievement of the NDS strategy through participation in special initiatives and programs Pre-event Coordination Manage pre-conference activities, including budget development, venue contracts, and timelines. ​ Oversee online registration processes and respond to delegate queries. ​ Source venues for conferences, networking functions, and workshops (face-to-face and virtual). ​ Coordinate program development, speaker invitations, and accessible participation requirements. Collaborate with policy experts across the organisation to ensure programs address key sector issues and initiatives ​ Manage virtual conference platform builds with suppliers. Event Communication Collaborate with marketing team to deliver promotional materials, delegate handouts and resources for sponsorship / exhibition packages. Monitor and grow NDS’s supporter database. ​ Management of Live Day Activities ​ Facilitate the delivery of online, hybrid, and face-to-face conferences and events. ​ Manage onsite facilitation, sponsor/exhibitor requirements, and supplier coordination. ​ Act as the primary contact point during events and resolve issues as they arise. Post-event Activities Finalise post-conference budgets and evaluations. ​ Ensure timely completion of all post-event activities. Facilitate reporting back to sponsors / funders Other Responsibilities (applicable for all NDS employees): Perform other duties and responsibilities as required by manager/supervisor from time to time Comply with NDS’s policies and procedures at all times, including (but not limited to) HR, Quality, Work Health & Safety (WHS), IT, Security, and Data Privacy Respond to reasonable contact from NDS outside standard work hours if required as part of role responsibilities. Develop accessible versions of documents for internal and external distribution. Skills And Experiences Skills & Experience: Proven experience in coordinating large conferences and events (online and face-to-face), within budget Strong leadership skills and ability to lead a team ​ High-level administrative skills and proficiency with MS Office 365 Suite, CRMs, meeting platforms, and virtual conference platforms. ​ Excellent task and time management skills to handle multiple activities within deadlines. ​ Strong communication skills (written and verbal) and attention to detail. ​ Member service orientation and ability to work independently or as part of a team. ​ Independent travel capability.
