As an Administration Assistant within UQ Biological Resources, you will be central to the smooth operation of essential administrative and financial processes that underpin critical research services. Working within a collaborative and specialised environment, you will contribute to the coordination of procurement, financial transactions, and stakeholder engagement across multiple sites.

Key Responsibilities
* Lead procurement and purchasing activities for Animal Facilities and UQBR, including raising requisitions in UniFi, coordinating UQeMarket orders, and managing corporate credit card transactions.
* Maintain accurate financial and purchasing records, including order tracking, standing purchase orders, and reconciliation of corporate and virtual credit card transactions.
* Coordinate supplier and stakeholder engagement, managing quotations, orders, deliveries, invoicing, site access, and responding to routine enquiries.
* Prepare and process internal and external billing documentation, including animal purchases and agistment charges, and submit financial documentation to Finance.
* Support financial governance and provide high‐level administrative support, including month‐end activities (COJs, chart string validation), travel coordination, and general administrative assistance to UQBR staff and leadership.
About You
* Strong organisational and attention to detail skills, with the ability to manage competing priorities and meet deadlines in a fast‐paced environment.
* Demonstrated experience in financial administration, including procurement, invoicing, reconciliation, and maintaining accurate records.
* Excellent communication and interpersonal skills, with a customer‐focused approach and the ability to build effective relationships with a range of stakeholders.
* High level of proficiency across the Microsoft Office suite, particularly Excel, along with the capability to quickly learn new systems and processes.
* A proactive, reliable and solutions‐focused mindset, supported by well‐developed problem‐solving skills and the ability to work both independently and collaboratively.
* Relevant qualifications or equivalent experience, ideally complemented by exposure to university or complex organisational administrative systems and processes.
