 
        
        The Geelong VET Cluster is seeking a motivated and highly organised Assistant Coordinator to join our team. This role provides direct support to the VET Cluster to ensure the smooth operation of the cluster and delivery of high-quality VDSS opportunities for the Barwon Region. A portion of the role will also support the Geelong Regional LLEN (GRLLEN) in its work.
This role is a maximum term contract through to 31 December 2026, with a possible extension.
About the Role
As the Assistant Coordinator, you will:
 * Provide day-to-day administrative support to the VET Cluster, and GRLLEN Executive Officer.
 * Oversee office management functions, ensuring efficient procedures and systems.
 * Oversee and co-ordinate the Barwon VET Transport system
 * Coordinate meetings, professional development events, venues, catering, and communications.
 * Manage correspondence, diaries, travel bookings, and credit card reconciliations.
 * Prepare agendas, minutes, and follow-up actions to keep initiatives on track.
 * Collate and analyze VDSS cluster data and prepare reports for schools, providers, and the Department of Education.
 * Support the development of budgets, planning functions, and the annual VET Cluster handbook.
 * Maintain and update online resources including the Barwon Education Ecosystem.
 * Skilled in budget management, efficiently allocating and tracking financial resources to meet program and operational goals.

 * Strong administrative and office management skills.
 * Excellent written and verbal communication, with the ability to tailor messages to different audiences.
 * High-level interpersonal skills, able to build rapport with a wide range of stakeholders.
 * Knowledge of the Vocational
 * Proficient in Microsoft Office, Office 365, Teams and Google Workspace.
 * Experience preparing agendas, taking minutes, and managing meeting documentation.
 * Strong organisational and time management skills with the ability to juggle multiple priorities.
 * Initiative and problem-solving skills, with attention to detail and accountability.
 * Understanding of Careers development and educational pathways
 * The ability to work with other people towards a common goal
 * Ability to create visual content using platforms like Canva or similar
Qualifications & Requirements
Certificate IV in Business Administration (or equivalent experience).
Current Working With Children Check.
Current Driver's Licence.
A demonstrated understanding of Vocational Education and Training (VET) Delivered to Secondary Schools (VDSS) would be advantageous and is strongly preferred.
Minimum 2 years of administrative experience in education or government sectors
Eligibility to work in Australia (Australian citizenship, permanent residency, or valid work visa)
