Company Overview:
Our client is a leading Real Estate Fund Manager seeking an experienced and dedicated Executive Assistant to provide unparalleled support to a busy Executive Director and his team in Sydney. They are initially looking for Maternity Leave cover for a minimum of 12 months with potential of a permanent role for the right candidate. The candidate needs to be skilled at managing a range of responsibilities, a range of stakeholders and needs to thrive in a fast-paced environment.
Key Responsibilities:
As the Executive Assistant, you will ensure the seamless functioning of the team and require administration, organisation, and relationship management to efficiently & effectively supporting your director. The role requires and not limited to the following responsibilities:
Executive Assistance:
1. Manage email correspondence, including responding to important matters and appropriately organising emails and documents.
2. Handle confidential and sensitive matters with discretion and professionalism.
3. Coordinate and manage the executive's diary, scheduling face-to-face meetings, teleconferences, and video calls, along with booking suitable meeting spaces.
4. Serve as a professional point of contact for clients, including welcoming and greeting visitors.
5. Facilitate all travel arrangements, from business case creation to itinerary preparation, flights, accommodation, and transportation.
6. Prepare documents, presentations, and administrative materials with meticulous attention to detail.
7. Compile agendas, take minutes, arrange catering, and fulfill ad-hoc requirements for internal and external meetings.
8. Have a sound knowledge of office procedures, an attitude to accept responsibilities and to work autonomously as required but also participate as a team member within the business unit.
9. Demonstrate knowledge of office procedures, work autonomously while fostering teamwork, and drive team social initiatives.
Finance and Operations:
10. Coordinate and manage reports and assist with deal tracking, fee forecasting, and budget reporting.
11. Handle expense claims, including corporate credit card and personal reimbursements, obtaining necessary approvals.
12. Track recoverable and non-recoverable costs.
13. Facilitate supplier creation and payment processes, including invoices.
14. Oversee onboarding and offboarding processes for new starters and departing staff.
15. Support the executive with HR and legal matters eg: Annual leave, policies, NDAs etc
Events:
16. Coordinate team and client events, managing budgets, run sheets, guest lists, invitations, catering, venue reservations, and entertainment.
17. Purchase event tickets for staff and clients as needed.
Qualifications:
18. Year 12 Level Education / TAFE or Business Studies.
19. Minimum 5+ years’ experience providing high-level support to Senior Executives.
20. Experience in property/commercial real estate will be favourable.
21. STrong proficiency in Microsoft Office Suite and calendar management tools.
22. Exceptional organizational skills and attention to detail.
23. Strong communication skills and the ability to handle confidential information.
24. Ability to work autonomously and as a team member.
