Cairns Orthopaedic Clinic (COC) is seeking an experienced and proactive Practice Manager to lead the day-to-day operations of our busy specialist healthcare clinic.
This is a pivotal senior role supporting the Directors, leading our administrative and clinical support team, and ensuring the clinic continues to deliver exceptional patient care in a professional, supportive environment.
This part-time position, requiring between 25-30 hours per week, would be well-suited to those seeking school hours work.
About the Role
Reporting directly to the Directors, the Practice Manager is responsible for the overall operational, financial, and people management of the clinic. As a senior representative of COC, you will lead by example, fostering a positive workplace culture while maintaining high standards of governance, compliance, and patient experience.
Key Responsibilities
This is a varied and hands-on role that includes responsibility for:
Practice Operations
Overseeing day-to-day clinic operations and accreditation standards
Maintaining policies, procedures, and operational systems
Managing contractors, equipment, assets, and clinic facilities
Ensuring clinic security, cyber security awareness, and risk management
Financial & Business Management
Overseeing accounts, banking, invoicing, and financial reporting
Managing Xero, payroll processes, superannuation, and ATO obligations
Monitoring budgets and business insurance
Providing accurate reports to Directors
Workforce planning, rostering, and leave management
End-to-end recruitment, onboarding, and induction of staff
Supporting employee engagement, performance management, and wellbeing
Coordinating training, professional development, and mandatory compliance
Leading staff meetings and contributing to a positive team culture
Communication & Stakeholder Management
Acting as a key point of contact for staff, contractors, and stakeholders
Communicating clearly and professionally with patients, staff, and Directors
Supporting the clinic's reputation for high-quality, patient-centred care

Essential Qualifications & Experience
Certificate IV in Business (Medical Administration) or Health Administration
Diploma of Practice Management (or equivalent experience)
Experience in a similar Practice Manager or senior healthcare administration role
Minimum 5+ years of Practice Manager or senior healthcare administration experience is preferred
Key Skills & Knowledge
Strong leadership, teamwork, and people management skills
Excellent written and verbal communication skills
Experience with financial systems and reporting (Xero essential)
Payroll knowledge and understanding of employment legislation
Sound understanding of Medicare and private health fund requirements
Intermediate to advanced Microsoft Office skills
Strong organisational skills and attention to detail
