About the role
We are seeking expressions of interest for a secondment to the Project Services Lead role within ETS to support the delivery function by assisting in managing the capacity and utilisation of Project Managers, Business Analysts, Testers, and other delivery resources. In this role you will provide operational and delivery support across projects, by maintaining project financial tracking, preparation of reports and TDP packs, and ensures governance compliance and reporting accuracy in collaboration with the Project Services Manager, ePMO, and delivery teams.
This position will require you to
* Oversee delivery service quality and compliance to ensure successful project, program, and portfolio outcomes aligned with stakeholder expectations.
* Promote familiarity with and adherence to City of Melbourne frameworks (e.g. Technology Project Management Framework).
* Establish, coordinate and participate in governance forums to ensure alignment and oversight.
* Building and maintaining strong stakeholder relationships to ensure the practice delivers value and meets expectations.
* Assist delivery staff with the management of risks and budgets, including estimation, forecasting, tracking, and procurement processes.
* Coordinate and maintain accurate capacity and utilisation data for PMs, BAs, Testers and other delivery resources, ensuring information is kept up to date in approved tools and reporting systems.
* Support Project Managers in delivery activities, including operational tasks, artefact preparation, RAID maintenance and governance updates.
* Work with PMs to track project budgets, forecasts, financial variances and ensure financial data accuracy prior to submission.
* Prepare reports, dashboards and TDP packs as required by ETS governance forums and leadership.
* Liaise with the ePMO to validate and finalise portfolio submissions in compliance with relevant processes and deadlines.
* Provide delivery support for small projects and low-complexity initiatives where required.
About you
What your experience might look like
* A relevant tertiary qualification in information technology or relevant business discipline or relevant experience
* Ability to manage customer, stakeholder, and vendor relationships.
* Excellent interpersonal, negotiation and persuasion skills with the ability to use discretion and judgement in a complex business and political environment.
* Strong verbal and written communication skills to provide advice and consulting on a range of issues.
* Demonstrated strong organisational skills, with the ability to respond to changing priorities and manage competing deadlines, as well as high level of attention to detail and commitment to accuracy.
* Experience supporting project delivery activities in a technology, PMO or business environment and /or relevant experience
* Demonstrated capability in resource coordination, utilisation tracking or project scheduling or relevant experience
* Strong organisational skills and the ability to manage competing priorities in a dynamic delivery environment.
* Experience with project financials including tracking, forecasting and variance analysis.
