About the Role
You'll join the team delivering the Bus Solution package of the Opal Next Generation (ONG) program—an exciting, high-impact initiative that will reshape how passengers plan journeys, pay for travel, and access real-time information across the NSW Opal-enabled bus network.
As Project Coordinator, you'll support the successful delivery of the TfNSW ONG Bus System project by helping keep project activities organised, on track, and well connected across the team. You will be central to coordinating delivery rhythms, maintaining project documentation and reporting, and supporting strong communication across internal teams, delivery partners, and key stakeholders.
In addition, you will support the project's Indigenous Engagement obligations by coordinating First Nations stakeholder engagement activities and helping ensure communications and reporting are culturally appropriate, accurate, and well managed.
How you'll make an impact
Project Coordination & Support
* Support day-to-day coordination of ONG project activities across workstreams, ensuring actions, milestones, and dependencies are tracked and followed up.
* Assist with mobilisation activities including onboarding, access, inductions, and coordination of internal and external kick-offs.
* Maintain and update core project artefacts including schedules, action registers, RAID logs, decision logs, and status reports.
* Support translation of contractual and scope inputs into structured project documentation and tracking tools.
* Assist the Program Director and the PMO in embedding disciplined project management processes and rhythms.
* Coordinate inputs across cross-functional teams including engineering, software, hardware, operations, customer success, and finance.
* Ensure coordination outputs, artefacts, and reporting meet required quality standards and are delivered in line with PMO processes and timelines.
PMO, Governance & Reporting Support
* Support PMO governance processes including reporting cycles, assurance checkpoints, and documentation standards.
* Prepare accurate and timely project reports for internal and external stakeholders.
* Support the preparation of steering committee, governance, and executive materials including agendas, packs, and minutes.
* Support version control and document management discipline across project artefacts.
* Support change control processes including logging, tracking, and documentation of variations and approvals.
Indigenous Engagement Coordination and Reporting
* Support engagement with First Nations organisations, representatives, and supply partners by coordinating meetings, communications, and actions.
* Work with sub-contractors to facilitate their Indigenous Engagement Coordination and Reporting across the project.
* Maintain Indigenous engagement plans, registers, and reporting artefacts required for governance and assurance.
* Track Indigenous participation, procurement, and engagement commitments and support accurate reporting.
* Support culturally appropriate communication practices and elevate issues or risks relating to Indigenous engagement.
* Coordinate inputs to Indigenous engagement reporting for client, governance forums, and audits.
Financial & Commercial Administration Support
* Assist with tracking of budgets, expenditure, and forecasts at a project level, working with the Program Director and Finance.
* Support invoicing and revenue milestone administration by coordinating data, approvals, and documentation inputs.
* Support tracking of financial actions and follow-ups to assist accurate month-end processes.
* Support maintenance of change and variation registers to assist commercial governance and audit readiness.
Stakeholder & Communications Coordination
* Support stakeholder engagement activities by coordinating meetings, preparing materials, and tracking actions.
* Act as a point of coordination between internal teams, partners, and external stakeholders where required.
* Support clear, timely, and professional communication across the project team.
Risk, Issues & Quality Support
* Support maintenance of RAID logs and assist with proactive identification, tracking, and escalation of risks and issues.
* Support quality assurance processes by tracking deliverables, reviews, and approvals.
* Support follow-through of actions arising from risks, issues, and audits by ensuring they are documented and tracked.
Transition & Handover Support
* Support planning and coordination of transition and handover activities into operational support.
* Support and coordinate documentation associated with the system deployment across the Sydney region, ensuring progress is maintained and documented with associated item sign off details.
* Assist with preparation of handover documentation, training materials, and operational readiness artefacts.
What You'll bring to the Role
* Experience supporting complex projects or programs, preferably government, transport, or technology environments.
* Strong organisational and coordination skills with high attention to detail.
* Ability to manage multiple priorities in a structured delivery environment.
* Strong written and verbal communication skills.
* Working knowledge of project management methodologies and PMO concepts.
* Proficiency with project tools, document management, and reporting systems.
* Experience supporting stakeholder or community engagement activities, preferably within government or regulated environments.
* A proactive and solutions-focused mindset.
* Awareness of First Nations cultural protocols and engagement principles (training or experience desirable).
* Tertiary qualification in business, project management, or a related field is desirable.
* Sydney-based, with regular on-site attendance required in line with project needs—typically up to four days per week across TfNSW stakeholder sites and the program delivery office, depending on project phase.
* Willingness to travel occasionally, including interstate and international travel, to support coordination with Modaxo's global engineering teams.
