Job Overview
This role is a proactive front office support and administration position, ensuring clients are serviced in a professional manner and in accordance with established policies and procedures.
Key Responsibilities
* Greets and registers all visitors, adhering to visitor protocols.
* Allocates visitor desks and coordinates workspace requirements.
* Provides personalized assistance to guests, ensuring their needs are met promptly and professionally.
Support Functions
* Orders and maintains supplies for kitchen, breakout areas, meeting rooms, and utility rooms.
* Monitors and replenishes printed stationery and general office supplies.
IT Support
* Provides first-level IT support for guests and staff in client suites, including printer setup, video conferencing assistance, and troubleshooting basic IT issues.
Meeting & Event Coordination
* Organizes internal and external meetings, including practice/group meetings, lunches, dinners, and drinks.
* Caters to various events and seminars.
* Manages seminar questionnaire summaries and applications.
Administrative & Secretarial Services
* Assists with expense claims, document handling, calendar management, inbox organization, document archiving, and updating distribution lists.
Business Development Support
* Updates CVs and tracks business development activities.
* Maintains interaction entries.
Travel Coordination
* Arranges travel bookings, including flights, taxis, and accommodations.
Project Assistance
* Provides administrative and logistical support for ad-hoc projects as required.
The ideal candidate will possess exceptional communication skills, interpersonal skills, attention to detail, multitasking ability, flexibility, deadline-oriented approach, proactivity, self-motivation, instructional clarity, and technical proficiency in Microsoft Word and Outlook.
