Primary objective
Working as part of the Digital Project Services Business Support team, deliver professional administrative support services in a busy and
dynamic ICT project work environment.
Context statement
Digital Project Services (DPS) delivers complex, high value, and high-risk ICT programs and multi-year digital transformation initiatives for
core frontline services through an inter-agency collaborative approach. Working closely with the client agencies, the team comprises of
public sector employees and contractors working together to deliver multiple streams of activity as programs are implemented. The work
environment is dynamic, fast-paced and results driven with high expectations of superior service delivery. Working closely with the
Administration Officer, this position works as part of the Digital Project Services (DPS) project support function to provide responsive and
efficient administrative support services across the Division.
Key duties and responsibilities
1. Provide professional receptionist support as the first point of contact for internal and external communication.
2. Undertake a range of office administration tasks including but not limited to fleet car bookings, cleaning audits and communications,
maintenance of stationary supplies, booking meeting rooms, management of tea rooms and kitchen supplies, printer maintenance and
management of small-scale building issues.
1. As required, provide general administrative assistance to the Administration Officer and Business Coordinator and broader DPS
support areas, undertaking relevant tasks as directed.
1. Work collaboratively and professionally with internal and external stakeholders to ensure accountability and compliance with a range
of business administrative procedures.
1. Participate as a proactive member of the DPS Business Support team, contributing ideas and suggestions in support of continuous
process improvement.
Selection criteria
Essential
1. Experience in customer service and providing administrative support.
1. Sound organisational skills with the ability to prioritise own workload to meet deadlines and work flexibly to adapt to an ever-changing
environment.
3. Sound written and oral communication and interpersonal skills including the ability to interact effectively with people from diverse
cultures and work well with a wide range of people with tact and discretion, maintaining high levels of integrity and confidentiality.
1. Demonstrated computer literacy, in particular the effective use of Microsoft Office applications to produce documents and maintain
accurate records.
1. Working knowledge of general office procedures with a sound understanding of standard records management, procurement,
recruitment and credit card management practices.
1. Demonstrated reliable attendance with proven ability to work independently and cooperatively participate as part of a team to achieve
business objectives.
7. Demonstrated work ethic and attitude which emulates DCDD values of being commitment to service, innovation, ethical practice,
accountability, impartiality, diversity and respect.
Desirable
1. Certificate III in Business Administration.
2. Prior experience in a public sector work environment.
