About the Role

We are seeking an exceptional Executive Assistant to the CEO to support the overall functions of our charity and foundations arm, ensuring the seamless coordination of our community-focused initiatives. In this key role, you will work closely with the CEO and Executive Team to help drive the meaningful work we deliver to the communities we serve across the North.

Every day brings new and exciting challenges where you will harness your motivation and ability to coordinate manager, diary schedules, community requests, document preparation, event planning and systems to ensure smooth engagement with all internal operations and key partnerships.

Key Responsibilities:

* Provide comprehensive administrative support to ensure seamless operation of fundraising and program activities.
* Support the CEO and senior staff in developing and implementing operating procedures.
* Manage calendars, travel logistics for CEO and executives.
* Email inbox management, engage with stakeholders and the community via phone, email, and post.
* Coordinate community requests and inventories.
* Support reporting, presentations and partner documentation.
* Support the implementation and use of CRM platforms and data management support for programs and fundraising.
* Assist in event planning and execution, including charity auctions and fundraising activities.
* Maintain inventories of general merchandise, collateral, program shirts, auction items and raffle prizes, including ordering, stock checks and distribution activities, and other registers to ensure legislative compliance.
* Event support - from planning through to delivery.
* Coordinating deadlines, details and departments - with grace and grit.
* Identify areas for process improvement and develop solutions to streamline operations.

Qualifications and Experience:

* Cert IV or Diploma in Business Administration (or equivalent experience).
* Minimum 5 years’ experience in similar role of high-level administration, executive assistant, operational support, or project management.
* Advanced experience with Microsoft Office suite and CRM systems.
* Supervisory experience or capability to manage an administrative trainee.
* Excellent interpersonal and stakeholder management skills.
* Exceptional organisational skills - you're a next-level multitasker.
* High-level discretion, professionalism and initiative.
* Desirable: Experience supporting executives or managing projects.
* Desirable: Experience in a community, fundraising, or events setting.
