Executive Assistant
As the Executive Assistant to the Principal at a Special Assistance School, you will become part of a dedicated team with a powerful mission: to re-engage young people in education and support them in building positive pathways beyond school.

Position Purpose
The Executive Assistant provides high-level administrative and organisational support to the Principal and works in collaboration with the Business Manager, enabling them to focus on strategic leadership and operational management of the school. This role acts as a central point of coordination for communication, meetings, and projects, ensuring efficient office operations and the smooth flow of information between staff, parents, students, and external stakeholders. The Executive Assistant represents the Principal's office with professionalism, confidentiality, and discretion at all times.
Key Responsibilities
Executive Support
* Provide high-level administrative support to the Principal working in collaboration with the Business Manager.
* Manage and coordinate calendars, appointments, and school-related events.
* Prepare agendas, take minutes, and track follow-up actions for staff, leadership, and Board/Committee meetings.
* Draft, proofread, and distribute correspondence, reports, newsletters, and presentations.
* Serve as a liaison between the Principal and staff, parents, and external contacts
* Maintain confidentiality and handle sensitive information with integrity
Administration & Organisation
In collaboration with the Business Manger:
* Coordinate travel, accommodation, and professional development bookings as required.
* Maintain accurate and confidential student, staff, parent, and financial records in line with school policies.
* Assist with preparation and reconciliation of expense claims, purchase orders, and budget documentation.
* Support school-wide projects, compliance reporting, and administrative processes to ensure deadlines are met.
Liaison & Communication
* Act as the first point of contact for parents, staff, students, and external stakeholders on behalf of the Principal.
* Build and maintain positive relationships with the parent community, governing bodies, and external partners.
* Represent the Principal's office in a professional and welcoming manner.
School & Team Support
* Coordinate executive-level school events, assemblies, and community functions.
* In collaboration with the Business Manager, assist with Board/Committee meetings, including preparing reports and distributing meeting papers.
* Provide guidance to administrative and support staff to ensure efficient day-to-day office operations.
Confidentiality & Discretion
* Handle sensitive information (students, staff, financial, or strategic) with the highest level of confidentiality.
* Exercise sound judgment when prioritising urgent matters and resolving issues appropriately.
Requirements
* Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role
* Exceptional organisational and time management skills
* High level of written and verbal communication proficiency
* Proficiency in Microsoft Office Suite and digital tools
* Ability to work independently, multitask, and prioritise effectively
* A calm, professional demeanour and discretion in handling confidential information
* Previous experience in an educational environment is advantageous but not essential
* Experience supporting financial administration (budgets, purchase orders, expense reconciliation) is advantageous but not essential.
