Graze and Goblet Caterers is seeking an experienced, enthusiastic, and hands-on Function Sales & Administration Manager to join our dynamic team. This is an exciting opportunity to be part of a growing catering company known for delivering premium catering services across Geelong and beyond.
Key Responsibilities
Function Sales & Customer Relations
* Manage and respond to all customer inquiries across all platforms (phone, email, in-person).
* Prepare and present proposals, quotes, and contracts to clients.
* Build and maintain strong and ongoing client relationships.
* Manage end-to-end client bookings, confirmations, and follow-ups.
* Attend client meetings and tastings when required.
Administration & Coordination
* Manage all day-to-day administrative tasks related to function bookings.
* Coordinate with the production and kitchen teams to ensure smooth execution of events and deliveries.
* Manage all company software related to sales, CRM, accounting, rostering, delivery scheduling, and inventory management.
* Create and manage function sheets, delivery schedules, and logistics planning.
* Maintain accurate records of all functions, communications, and reports.
Logistics & Operations
* Manage logistics and transport for all deliveries and pickups.
* Hands-on involvement in deliveries and function setups when required.
* Manage and supervise front-of-house staff during functions and events.
* Create, publish, and manage staff rosters for all catering functions.
* Ensure proper storage, sorting, and upkeep of equipment, crockery, and supplies before and after events.
* Maintain and update stock inventory and equipment logs.
Marketing & social media
* Design and create marketing and advertising materials for catering and events.
* Manage and regularly update social media platforms with relevant content.
* Promote seasonal offers, packages, and special events.
Other Industry Responsibilities
* Assist with menu planning and costing in collaboration with the culinary team.
* Prepare post-event reports and client feedback evaluations.
* Manage compliance and safety documentation.
* Handle petty cash, supplier accounts, and related financial records.
* Participate in recruitment, training, and onboarding of new front-of-house staff.
* Attend and support off-site functions when required.
* Ensure high standards of presentation, quality, and service at all times.
* Contribute to the continuous improvement of the business.
About You
* Previous experience in catering, event management, or hospitality (essential).
* Strong organizational and multitasking skills.
* Required to have RSA Certification
* Must have Food Handler's Certificate
* Confident in customer service and client relationship management.
* Proficient in MS Office and event management software.
* Excellent communication and leadership skills.
* A hands-on and flexible attitude.
* Valid driver's license (essential).
* Ability to work flexible hours, including weekends and evenings when required.
