Job Description
The Management Operations Coordinator supports the effective functioning of operational processes across multiple functional areas, including finance, supply, human resources, and office management. Working under moderate supervision, the incumbent assists in implementing operational procedures, monitors routine activities, and provides guidance to junior staff to ensure efficient service delivery and compliance with established policies.
Duties:
1. Coordinate logistics for recruitment initiatives, encompassing job postings, candidate screening, interview scheduling, and onboarding documentation.
2. Maintain oversight of contract expirations, leave plans, and staffing tables; follow up on required people management actions.
3. Provide initial guidance to staff on HR policies, entitlements, and administrative formalities.
4. Support performance management compliance by tracking key metrics and promoting staff development initiatives.
5. Assist in budget monitoring by maintaining accurate spreadsheets and alerting management to variances.
6. Prepare routine financial documents, such as payment requests, travel claims, and vendor payments, in accordance with financial regulations.
7. Liaise with Finance or Programme units to reconcile data and respond to queries.
8. Initiate procurement requests and monitor delivery status, ensuring proper documentation is retained.
9. Support vendor liaison and assist with contract preparation for routine purchases.
10. Conduct basic analysis of procurement timelines and elevate delays or inconsistencies.
11. Participate in inventory management activities and update asset records.
12. Assist the supervisor in maintaining a healthy, safe, and respectful working environment within the UNHCR Office premises/staff accommodation.
13. Provide general administrative support relating to visas, licenses, work permits, etc.
14. Arrange for requisition of office supplies and equipment, including Low Value Procurement, and maintain control of distribution and inventory records.
15. Support the identification and management of risks and seek to capitalize on opportunities impacting objectives in the area of responsibility.
16. Ensure decision making is risk-based in the functional area of work.
17. Raise risks, issues, and concerns to a supervisor or to relevant functional colleague(s).
