Full‐time | Ongoing Temporary AssignmentHourly Rate: $57.26 per hour + Super
Location: Outside of Palmerston
An established organisation in the NT is seeking an experienced and highly organised Executive Assistant to provide exceptional support to two Directors overseeing Corporate & Community and Infrastructure Operations. This is a key role supporting two high‐performing directorates responsible for delivering essential services to the community.
About the RoleAs the Executive Assistant, you will play a critical role in ensuring the smooth and efficient day‐to‐day operation of both directorates. You will provide high‐level administrative, organisational, and executive support, including complex calendar management, meeting coordination, document preparation, and stakeholder liaison.
This position requires strong judgement, excellent communication skills, and the ability to anticipate needs and resolve issues proactively.
Please note this role may require an after-hours commitment (paid at time and a half).
1. Quarterly – Tuesday nights from 5:30pm–7:00pm
2. Monthly – Thursday nights from 5:30pm–7:00pm
3. Backup support on Mondays and Tuesdays for Council Meetings, Strategic and Briefing Sessions. These may run until approximately 9:30pm on Mondays and around 7:00pm on Tuesdays.
Key Responsibilities
Act as the first point of contact for the Directors, facilitating efficient communication across the organisation and with external stakeholders
* Provide comprehensive administrative and secretarial support, including:
* Managing email inboxes and responding to enquiries (phone, online, written, and in person)
* Preparing correspondence, letters, and documentation
* Filing and maintaining accurate records and registers
* Preparing agendas and meeting papers
* Coordinating meetings, appointments, and taking minutes
* Undertaking research and assisting with reports for special projects
* Supporting operational tasks across both directorates
* Providing organisational support as required
* Comply with all workplace health and safety requirements and promote safe work practices

Essential Skills & Experience
* Demonstrated experience as an Executive Assistant, Senior Administrator, or similar role
* Strong written and verbal communication skills
* High level of professionalism, discretion, and confidentiality
* Ability to work autonomously and manage competing priorities
* Advanced proficiency in Microsoft Office and document management systems
* Strong stakeholder management and interpersonal skills
* Excellent attention to detail and sound problem‐solving abilities
Desirable
* Experience in local government, community services, or public sector environments
* Understanding of governance, reporting, or project coordination processes
* Knowledge of operational, community, or infrastructure‐based functions
