About the Role
The Executive Assistant and Office Manager is a key support role, providing high-level assistance to the CEO and Trust Board, overseeing day-to-day office operations, and coordinating People & Culture processes. This multi-faceted position requires someone who is highly organised, adaptable, and able to balance competing priorities in a dynamic environment.
Your responsibilities will include:
Project Management
- Plan and coordinate internal projects.
- Oversee risk management, compliance plans, and ensure appropriate systems and controls are in place.
- Coordinate cross-departmental tasks, ensuring responsibilities are transparent and deadlines are met.
- Support change management initiatives, helping staff to adapt to new systems, processes, or structures.
Overseeing people and Culture
- Coordinate recruitment processes
- Manage onboarding and offboarding logistics
- Provide support for workplace health and safety requirements
- Support employee engagement initiatives
Executive Assistant duties
- Coordinate travel arrangements and accommodation arrangements for CEO and Board of Directors
- Provide secretarial support to the Board and committee meetings
- Provide basic technical support for the CEO
- Coordinate and manage the CEO's calendar
- Assist in inducting newly appointed Directors and retain the compliance documentation
Office Management
- Establish and maintain standards and procedures for the office operations
- Oversee day-to-day operations of the Perth office
- Respond to and oversee maintenance issues
- Monitor and replenish office supplies as needed
- Ensure the security, integrity, and confidentiality of office data and facilities
About You
We are looking for an experienced EA/Office Manager who thrives in fast-paced environments and enjoys variety in their work. You will bring initiative, strong problem-solving skills, and excellent communication, with the ability to coordinate projects and people effectively. Experience in HR or People & Culture processes will be highly regarded.
