SERVICE CO-ORDINATOR – HD PUMPS (WINNELLIE)

HD Pumps is seeking a capable and highly organised Service Co-ordinator to join our Winnellie team. This is a critical operational role within our service department, suited to someone who enjoys taking ownership of workflows, coordinating multiple moving parts, and ensuring customers and technicians are always aligned.

In this role, you'll act as the central coordination point between customers, service technicians, and the Service Manager. A significant portion of your time will be spent managing quoting and invoicing for service work, maintaining accurate job records, and proactively communicating with customers about job progress and scheduling.

You will play a hands-on role in keeping the service department running efficiently, supporting planning, job tracking, and internal organisation while ensuring service documentation and financial records are complete, accurate, and up to date.

You'll work across our core systems, including MYOB Acumatica (invoicing and financial administration) and TimeTrak (job management and scheduling), and will be relied upon to use these systems confidently and accurately.

What You'll Be Doing


This role carries day-to-day responsibility for service coordination and administration, including:

* Coordinating service jobs end-to-end, ensuring all stages are tracked and documented
* Preparing, issuing, and finalising service quotes and invoices
* Maintaining accurate service job records, checklists, and supporting documentation
* Using TimeTrak to:

* Monitor job progress and technician availability

* Assist with job scheduling and workload planning
* Review and support accurate technician time entries
* Acting as a primary point of contact for customers, providing clear updates on job status, timing, and next steps
* Liaising closely with service technicians and the Service Manager to resolve scheduling issues and keep work flowing
* Supporting service department operations, including:

* Coordinating service vehicle servicing and maintenance records

* Ensuring service processes and records remain organised and compliant
* Providing general administrative and coordination support to the service department and broader business

What We're Looking For


This role suits someone who is confident, dependable, and comfortable operating with a high level of responsibility.

Essential skills and attributes:

* Proven experience in a coordination, service administration, or operational support role
* Strong organisational skills and the ability to manage competing priorities
* High attention to detail, particularly with financial documents, job records, and system data
* Clear, professional communication skills with customers, technicians, and management
* Confidence using business systems and software
* Solid general computer skills, including Excel, Outlook, and Word
* Basic proficiency with Excel formulas
* Minimum 1+ year experience in a service, trades, or customer-facing environment
* Willingness to learn and take ownership of service processes and systems

Highly regarded (but not essential):

* Experience with MYOB Acumatica or similar ERP/invoicing systems
* Experience using job management or scheduling systems such as TimeTrak
* Background in a service, trades, industrial, or technical environment
* Exposure to pumps, hydraulics, water, or related industries

* Ability to occasionally lift items up to 15kg
* Ability to pass a police check
* Current NT driver's licence
* Australian work rights
