We are seeking an experienced, passionate Event Manager to join our dynamic team.
This role is an exciting opportunity to contribute to the planning and execution of our concerts and events that support the artistic vision of the organisation.Role OverviewAs Event Manager, you'll be part of the leadership team, overseeing the delivery of a variety of events and activities.
You will be responsible for all aspects of event management, including coordination, logistics, budgeting, and stakeholder relationships.
The role will require supervision of administrative staff, interns and volunteers.
The role is varied, fast-paced, and offers the chance to be part of an organisation that celebrates the arts and young talent.ResponsibilitiesConcert & Event Management:Collaborate with the Artistic team to develop the annual event calendar, including major events such as the Queensland Youth Music Awards (QYMA), Young Voices Festival, Birralee Celebrates and Cupcake and Cushion Concert.Work with the Event Assistant to manage venue bookings, event budgets, ticketing (via Humanitix), VIP invitations, marketing, and team/volunteer scheduling.Confirm event logistics and manage team briefings to ensure smooth execution.Ensure legal and financial compliance of all events, including securing the necessary insurances and WH&S compliance.Source sponsorships and/or grant funding where required.Oversee the implementation and delivery of events in line with the organisation's goals.Attend events to manage front-of-house operations when required.Provide post-event evaluations and feedback for continuous improvement.Collaborate with the artistic team to develop the touring program for ensemblesEnrolment & Communications Management:Work with the Artistic and Admin teams to coordinate the enrolment process, fees, and member communications for the year.Manage communications for non-routine announcements or special member updates.Relationship Management:Build and maintain positive relationships with all Voices of Birralee stakeholders, including artists, partners, and volunteers.Ensure clear, consistent communication within the team and with external stakeholders.Venue Management of Birralee HQ (Bardon):Oversee management and maintenance of Birralee HQ.Liaise with Brisbane City Council on property-related matters ensuring HQ venues are ready forBirralee activities and for external hirers.Ensure compliance with Workplace Health & Safety (WHS) standards.Third Party Performances:Work with Artistic Directors to develop quotes and manage contracts for third-party performances.Handle invoicing and ensure timely payments.Skill Requirements & ExperienceProven experience in event management, preferably in the arts or not-for-profit sector.Exceptional organisational skills and a keen eye for detail.Strong communication and relationship management abilities.Ability to juggle multiple projects, prioritise tasks, and meet deadlines.Financial management skills, including experience with budgeting and tracking expenses.Knowledge of event risk management and compliance.Capacity to work flexibly, incorporating out of office hours' work (ie.
nights and weekends) where required, with time in lieu provided where out of office hours' work is performed.Proficiency in Microsoft Office Suite.Experience in the performing arts or choral sector.Familiarity with grant writing, fundraising, and sponsorship.Experience with ticketing platforms and audience engagement strategies.Additional Requirements:Industry experience or tertiary qualifications in event management.Strong interpersonal and communication skills.Creative, detail-oriented, and excellent time management skills.
