St Vincent's to Deliver Australia's New Free Digital Mental Health Service

St Vincent's Health Australia is proud to partner with the Australian Government to deliver fast, free digital mental health support through the Medicare Mental Health Check-In (MMHCI) service, launched nationally from 1 January 2026.

This digital and phone-based service provides rapid access to evidence-based, low-intensity CBT support for people experiencing stress, anxiety or distress, enabling early, effective intervention and improved wellbeing outcomes.

Delivered through St Vincent's Virtual & Home (SVVH), the service is supported by a growing national workforce, a structured learning ecosystem and a high-performing digital mental health model designed to deliver safe, equitable and connected care at scale.

Your New Role: Administration Officer -Digital Mental Health

Reporting to the Implementation Lead, the Administration Officer plays a critical role in supporting the day-to-day operations of the Medicare Mental Health Check-In service.

This role ensures smooth service delivery through accurate administration, strong coordination and responsive client support - working closely with clinical teams, operational leaders and corporate stakeholders.

This is a Permanent, Full-Time role (38 hours per week), based in Melbourne, Sydney or Brisbane, with hybrid working arrangements.

From time to time, reasonable additional hours may be required to support operational requirements of the service. Any additional hours will be worked in line with applicable industrial instruments and overtime provisions, where relevant

Key Responsibilities

Client & Service Administration

* Receive and process referrals, admissions and discharges within administrative systems
* Support client onboarding and ongoing engagement with the digital care platform, including technical troubleshooting
* Manage appointment bookings and assist with clinical documentation coordination
* Maintain accurate, confidential client records in line with privacy and legislative requirements

Digital Platform & Systems Support

* Administer the digital mental health care platform to ensure accurate data entry and adherence to SOPs
* Support staff in the use of digital systems and administrative workflows
* Monitor documentation control, versioning and system integrity

Operational & Workforce Support

* Assist with orientation of new staff members
* Provide administrative support for staff meetings, recruitment, training and development activities
* Assist with data collation for invoicing, service monitoring, evaluation and reporting
* Maintain and update standard operating procedures for administrative tasks

Quality, Safety & Professional Standards

* Ensure administrative practices align with the approved model of care
* Participate in quality improvement initiatives and service development activities
* Ensure compliance with accreditation standards, organisational policies and legislative requirements

Professional Conduct

* Maintain professional boundaries and confidentiality of all client information
* Participate in supervision, performance development and ongoing learning
* Comply with safe work practices and reasonable instructions to maintain health and safety

About You

You are a highly organised, detail-focused and values-driven Administration Officer who thrives in a fast-paced healthcare or digital health environment. You bring structure, reliability and care to your work, and you take pride in supporting people through accurate administration and responsive service coordination.

You are adaptable, collaborative and committed to equity, service excellence and continuous improvement, helping ensure Australians can access timely, compassionate digital mental health support.

Experience, Skills & Attributes

* Demonstrated experience of at least 2 years providing advanced administrative support, ideally within healthcare or digital health

* Strong working knowledge of Microsoft Office (Word, Excel, Outlook)

* Experience using client record management systems, booking systems or digital platforms

* Excellent written and verbal communication skills

* Highly organised, self-motivated and able to manage competing priorities

* Ability to work autonomously while contributing effectively within a multidisciplinary team

* Flexible, positive and collaborative working style

* Commitment to continuous improvement and professional development

Qualifications (Highly Regarded)

* Certificate or Diploma in administration, medical terminology or a related discipline

* Experience supporting virtually enabled care or digital health platforms (desirable)
