Main Responsibilities
* Schedule Management: Collaborate with the HVAC Service Manager to manage daily technician schedules.
* Planned Works Coordination: Liaise with clients to confirm appointments and coordinate planned works.
* Subcontractor Oversight: Allocate and oversee subcontractor jobs from initiation to completion.
* Logistics Management: Arrange travel logistics for remote works.
* Leave Management: Manage technician leave and update schedules accordingly.
* Reporting Support: Support job reporting and documentation with Service Admin and HVAC Manager.
* Purchase Orders: Raise purchase orders and issue subcontractor POs for maintenance tasks.
* Job Monitoring: Monitor job notes, technician hours, and parts used.
* Issue Escalation: Escalate complex job progress updates to management.
* Task Tracking: Oversee job tracking through Uptick and ensure accurate task locations.
* Issue Resolution: Proactively resolve field and service department issues.
* Procedure Improvement: Help improve procedures for order tracking and workflow.
* Inventory Management: Control incoming parts and maintain technician storage areas.
* Inventory Levels: Monitor inventory levels and advise on shortages or reorders.
* Client Communication: Handle incoming service-related calls and client inquiries professionally.
* Administrative Support: Assist with various administrative tasks as needed.
* Issue Escalation: Escalate unresolved or complex issues to management promptly.
