A leading property development group is seeking a motivated and detail-oriented Board Coordinator to join its in-house Legal and Company Secretariat team. This role provides vital governance and administrative support across a diverse portfolio of subsidiaries, trusts and joint ventures, ensuring corporate compliance and best-practice processes are delivered at scale.
About the Role
Working closely with the Governance Manager, you will play an integral part in coordinating Board and Committee operations, managing statutory filings and records, and supporting a wide range of governance activities. From preparing Board papers and resolutions to maintaining registers, administering filings, and assisting with trust structures, this role is central to the smooth delivery of governance across the group.

Key Responsibilities
- Coordinate Board and Committee cycles: collate, distribute and update papers (BoardVantage) and assist with minutes for quarterly Management and Finance Committees.
- Maintain corporate records and manage statutory filings (ASIC, GEMS), including incorporations, wind-ups, trust creations/vestings and Deeds of Cross Guarantee.
- Draft and lodge written and circular resolutions; support joint venture, trust and transaction documentation.
- Assist with the development and implementation of governance frameworks, templates and guidance documents.
- Raise purchase orders, manage vendor set-ups and liaise with external stakeholders on account enquiries.
- Support insurance compliance requests, licensing updates and ad-hoc projects.
- Provide day-to-day administrative and governance support to the Governance Manager and Legal Team.
About You
- Experience as a Company Secretary Assistant, Governance Officer or in a similar governance support role is desirable.
- Certificate in Corporate Governance (Governance Institute of Australia).
- Demonstrated experience with Board and Committee processes, statutory filings, and corporate record management.
- Advanced Microsoft Outlook/Word/PowerPoint skills; intermediate Excel
- Experience with BoardVantage, DocuSign, GEMS and SAP highly regarded.
- Solid organisational skills, attention to detail and ability to manage competing priorities.
- Excellent communication skills and confidence working with senior stakeholders.
- A proactive, team-oriented mindset with discretion and integrity.
