Personal Assistant to Specialist – East O&G
East O+G is a leading obstetrics and gynaecology practice, committed to delivering exceptional care for women and their families. We are seeking an experienced and highly organised Personal Assistant (PA) to provide dedicated support to one of our Specialists.
This is a unique opportunity to work in a role that blends high-level administration, patient coordination, and specialist support — ensuring smooth day-to-day operations and an outstanding experience for patients.
About the Role
As a Personal Assistant, you will be the key point of contact for your allocated Specialist, responsible for managing their calendar, theatre bookings, billing, and patient correspondence. You will play a vital role in supporting patients throughout their journey, coordinating appointments, and ensuring they feel cared for and supported.
Your day-to-day will include:
* Managing diaries, appointments, and theatre bookings.
* Acting as the first point of contact for patients, families, and health professionals.
* Preparing correspondence, clinical documents, and secure messaging.
* Coordinating patient appointments, follow-ups, and procedure support.
* Processing billing, health fund claims, and managing aged debt.
* Maintaining accurate patient and financial records.
* Supporting the smooth running of consulting rooms, including equipment and supplies.
* Providing relief cover for colleagues when required.
About You
We're looking for someone with:
* Minimum 2+ years' experience as a Medical Personal Assistant or in a similar senior medical administration role.
* Strong background in medical reception/administration, including billing and theatre bookings.
* Excellent organisational and time management skills — able to work in a busy, demanding environment.
* High-level written and verbal communication skills.
* Ability to work independently and collaboratively as part of a supportive team.
* Compassionate, patient-focused approach with genuine empathy.
* Strong IT and practice management software skills.
* Professional presentation, integrity, and commitment to ongoing development.
