About the Role
We are seeking a detail oriented Institute Administrator to join our team. This role will work closely with the Institute Director and Business Manager, providing high-level support across a broad spectrum of tasks such as contracting, coordination of research activities and resources, internal and external stakeholders management and administrative tasks.
Your responsibilities will include
* Provide advice and support to the Director and institute staff on operational and regulatory matters.
* Ensure effective communication, both within the Institute and across the Centre/Institute's key internal and external stakeholders and partners.
* Provide high level administrative support to the Director, including travel and calendar management, preparing business collaterals etc.
* Ensure the effective delivery of services to support the Institute's activities by liaising and working collaboratively with University service groups and by implementing Institute services and processes as appropriate.
* Provide support to the Director with the coordination of key Institute research projects and initiatives.
* Assist with the management of Institute research staff, through the coordination of recruitment processes, local induction and staff communications.
* Assist with the monitoring and implementation of the institute's contractual reporting obligations in consultation with the University's research office.
* Coordinate reporting obligations of the Institute through the production of regular reports under the direction of the Director.
* Prepare and distribute meeting minutes and other business collaterals such as presentations.
Who we are looking for – Selection Criteria (Essential)
* Relevant tertiary qualifications and relevant experience; or extensive experience and broad knowledge in an administrative field; or an equivalent combination of relevant experience and/or education training.
* Demonstrated experience in coordinating the administrative requirements of a small business unit.
* Demonstrated research and analytical skills with the ability to undertake preliminary research and analysis on a range of issues.
* A demonstrated understanding of financial and budget management.
* Well-developed oral and written communication skills, with the ability to communicate clearly and professionally with all staff and clients and the ability to produce documentation that is clear and concise.
* Demonstrated high-level interpersonal skills, including the ability to liaise and build rapport with a wide range of staff and external stakeholders.
* Proficiency in the creation of presentations, reports and other business collaterals using the Microsoft Office Suit and Adobe tools.
* Previous experience in a research environment within the tertiary education sector, and experience as an executive assistant and/or event coordinator are an advantage.
Your new Team – CIDS
The Curtin Institute for Data Science (CIDS) is an interdisciplinary knowledge accelerator established in 2016. Our aim is to apply data science and high-performance computing to provide innovative solutions to the real‑world problems of government, industry, and academia.
The Institute supports a growing network of SMEs, external organisations, government departments, researchers, co-operative research centres, and not-for‑profits across various sectors such as, but not limited to, health sciences, manufacturing, transport, art and culture, astronomy, agriculture, and aquaculture. At present the Institute would typically contribute to 30-40 research projects per annum, working with over 100 external organisations.
Engaging with the Curtin Institute for Data Science means collaborating with a team of specialists who are highly trained in data science, high‑performance computing, software development, project coordination and business development. The Institute has a dedicated team of over 40 specialist technical staff with diverse backgrounds in computer sciences, physics, mathematics, computational chemistry and biology, bioinformatics, and remote sensing. It also provides access to over 200 research academics drawn from across Curtin University who specialise in applications of data science in different research settings.

* As this is a fixed‑term contract, you will require current work rights in Australia that match the tenure of this role to be considered.
