Job Title:

Administrative Support Professional

Job Description:

As an Administrative Support Professional, you will provide day-to-day support to operations, freight, and project teams. This role assists with scheduling, paperwork, communication, and compliance, ensuring that the team has the information and resources needed to deliver projects efficiently.

* Provide administrative and clerical support to operations and project teams.
* Answer phones, manage emails, and handle general enquiries from clients, suppliers, and subcontractors.
* Maintain organised digital and physical filing systems.
* Assist with preparing forms, checklists, and reports.
* Support data entry, scanning, and document uploads as needed.

Key Responsibilities:

General Administration Support

* Provide administrative and clerical support to operations and project teams.
* Answer phones, manage emails, and handle general enquiries from clients, suppliers, and subcontractors.
* Maintain organised digital and physical filing systems.
* Assist with preparing forms, checklists, and reports.
* Support data entry, scanning, and document uploads as needed.

Operations & Freight Support:

* Assist with scheduling deliveries, pickups, and vehicle movements.
* Help prepare and record freight documentation (delivery dockets, manifests, and weighbridge slips).
* Track deliveries and update staff or clients on status or delays.
* Maintain registers for vehicles, fuel cards, and freight records.
* Support compliance with Chain of Responsibility (CoR) requirements.

Project & Site Support:

* Assist site teams with inductions, timesheets, and site paperwork.
* Help prepare materials lists, job folders, and safety documentation.
* Liaise with suppliers to confirm delivery times and material availability.
* Record and update job progress information in internal systems.

Finance & Purchasing Support:

* Assist with purchase orders, quotes, and supplier communication.
* Check and file invoices, receipts, and delivery dockets for approval.
* Support the accounts team with data entry and reconciliation tasks.

Team & Office Support:

* Maintain office supplies and equipment.
* Support internal communication between teams and management.
* Assist with staff induction packs and record-keeping.
* Provide general assistance to the Director and Operations Manager as required.
