Barwon Traffic Management is a locally operated traffic management provider based in Geelong, delivering services across civil construction, utilities, local government, and major projects throughout Geelong and South-West Victoria.

We have built a strong reputation for delivering safe, compliant, and reliable traffic management solutions, supported by experienced personnel, modern equipment, and well-established operational systems.

As a VicRoads-accredited Traffic Management provider operating across Road Categories 1, 2 and 3, our work spans Greater Geelong, Surf Coast, Golden Plains, Colac Otway, the Bellarine Peninsula, and surrounding regional areas.

As we continue to grow, we are seeking a Receptionist to join the team and play a key role in supporting day-to-day operations and business communication.

About the Role

We are seeking a proactive and organised Receptionist to manage front-of-house operations and support the administrative functions of Barwon Traffic Management.

This role is central to the business, acting as the first point of contact for clients, employees, and stakeholders. You will manage incoming calls, emails, and enquiries while supporting internal teams to ensure communication flows efficiently and administrative tasks are completed accurately.

This is a fast-paced, hands-on role suited to someone who is confident, reliable, and able to manage competing priorities. It also offers a clear pathway into an Office Coordinator or broader administrative role as the business continues to grow.

Key Responsibilities

As Receptionist, your responsibilities will include:

* Managing front of house operations, including greeting visitors and handling enquiries

* Answering, screening, and directing incoming phone calls and emails

* Monitoring shared inboxes and ensuring communication is actioned promptly

* Providing administrative support including data entry, document preparation, and record keeping

* Maintaining accurate and organised filing systems and documentation

* Supporting business systems (including Traffio) through accurate data entry and updates

* Coordinating meetings, appointments, and general office requirements

* Maintaining office supplies and a clean, professional reception environment

* Supporting onboarding administration and document collection

* Assisting operations and planning teams during peak periods'

Skills, Experience & Qualifications

To be successful in this role, you will have:

* Previous experience in a receptionist, administration, or customer service role (desirable)

* Strong communication skills with a confident and professional approach

* Excellent organisational skills and attention to detail

* Strong computer skills and confidence learning new systems

* Experience using Microsoft Office (Word, Excel, Outlook)

* Ability to manage multiple tasks in a fast-paced environment

* Strong data entry and administrative capability

* Ability to work effectively within a team

Desirable but not essential
* Experience in traffic management, civil, or a similar operational environment

* Experience using booking or workforce systems (e.g. Traffio or similar)

* Relevant administration or business qualification
