Orana Steiner School is excited to announce an opportunity for a systems‐oriented, highly organized and tech‐savvy individual to join our team in a permanent, full‐time, full‐year Educational Administration & Purchasing Officer role based onsite in our beautiful campus in Weston.
This role is available for an immediate start and will suit someone keen to work in a primarily internal client‐facing role that also liaises with external suppliers for end‐to‐end purchasing. Prior experience in school management systems (Synergetic, School Box, Edsmart) and purchasing platforms (MyAlii) is highly desirable for this role. In an environment of fast‐paced technological change, this role makes the significant contribution of adapting new processes and software to the school's evolving operational needs.
Role Overview
Working as an effective member of the administrative team, the primary role of the Educational Administration and Purchasing Officer is to provide administrative support for student activities and end‐to‐end purchasing for classroom resources. This role also works with the finance team for the accounts payable function. Reporting directly to the Business Manager, this role also liaises closely with the Deputy Principals for the day‐to‐day support of education delivery. Customer service is a critical part of this position as it works closely with teachers, school support staff, parents and suppliers & service providers.
Remuneration
This is a permanent, full‐time (38 hours per week), full year role. The salary and conditions of employment are determined by the Independent Schools ACT (Professional and Operational Staff) Staff Multi‐Enterprise Agreement 2025.
Level 3 of Clerical and Administration category. Step 1-4, based on experience in similar roles in an education setting. Indicative gross annual salary range $87,250 ~ $93,937 plus 12% Superannuation. 4 weeks (pro‐rata) annual leave per year by prior application and during End of Year compulsory shutdown. 17.5% Leave Loading.
Work Pattern
Monday to Friday, Onsite 8:30 AM to 4:36 PM (including a 30‐minute unpaid lunch break). Total weekly hours: 38 hours.
Key Accountabilities
Educational Administration
* Administrative support for Deputy Principals by setting up meetings, room bookings, interviews, calendar entries, meeting agendas and minutes, school festival and event preparations.
* Communication to staff and parents for day‐to‐day educational matters.
* Data entry and updates for student‐related records in the school management system.
* Student services such as school transport.
* Excursions / Swim program / NAPLAN bookings and coordination of permissions, including relevant communications.
* Reception lunch cover daily and occasional backfill for leave.
* Data integrity projects to improve processes for collection, recording and storing of student information.
* General administrative assistance for booklet binding, scanning, filing, update of contact lists etc.
Book‐keeping
* Perform data entry of all accounts information, reconciliations, and payments, so that the School's financial processes are timely, effective, and accurate. This includes:
* Managing bank payments for purchasing.
* Assisting in management of departmental budgets.
* Supporting Accounts Receivable to process fee payments by credit card onsite.
Purchases and Payments
* Working on the MyAlii purchasing platform, support teachers with purchase orders.
* Place orders with suppliers and manage deliveries, storage and disbursal of resource materials.
* Periodic stock‐take and recording of resource inventories.
* Establish and manage payments for goods supplied to the school, so that there is timely and accurate reconciliation of accounts.
General Duties
In consultation and collaboration with the broader administration team, the Educational Administration and Purchasing Officer will:
* Proactively identify, develop, and implement systems and processes which will improve current administrative practices and ensure a smoother and more effective delivery of Steiner education to students.
* Proactively contribute to the nurturing and supportive environment of the whole school through willing participation in regular school responsibilities and engaging in school‐related activities where possible.
Key Selection Criteria
* Relevant tertiary qualifications in Administration Support or Book‐keeping or a combination of qualifications and experience in administration and accounts.
* Proven 3‐5 years minimum experience in a similar role.
* Demonstrated Microsoft Office Suite skills, especially MS Excel, Word and Outlook.
* Demonstrated ability to work with new software and systems.
* Demonstrated organisational and time management skills together with resourcefulness and initiative to manage multiple concurrent tasks.
* Attention to detail and high level of accuracy.
* Well‐developed communication skills (written and verbal) and ability to work and communicate with a diverse range of individuals and groups.
* Ability to maintain strict confidentiality.
* Ability to operate standard office equipment like binders, laminators, printers etc.
* A commitment and willingness to work as a member of a team.
Other Requirements
* ACT Working with Vulnerable People (WWVP) Registration.
* First Aid certificate or eligible to secure a First Aid certificate.
* Eligibility for unrestricted long‐term work in Australia (Citizen or PR).
* National Police Check.
