About This Chance
We are seeking a motivated, organised and experienced individual to provide a high level of executive assistance to the Head of School, School of Veterinary Science.
The primary purpose of this position is to provide a range of administrative and secretarial support to the Head of School, to ensure timely and effective operation of the office.
The role involves liaising with internal and external stakeholders as the point of contact for the Head of School. This role requires extensive administrative and organisational skills in order to manage the volume of activity as well as client service skills, tact and diplomacy. Key to the success of the incumbent is their ability to manage and prioritise matters brought to the Head of School.
Key responsibilities will include:
- Manage the administrative and secretarial functions for the Head of School in a professional and confidential manner.
- Maintain an efficient and well organised office in an environment where confidentiality, responsiveness and proficiency are essential, ensuring that University, Faculty and School policies and procedures are adhered to.
- Act as liaison between the Head of School, School staff and other clients, both internal and external to the University, ensuring that matters requiring attention of the Head of School are appropriately documented and actioned in a timely manner.
- Manage response to a wide range of enquiries from UQ staff and students, and external stakeholders, initiating further action, delegation and follow up as necessary
- Manage financial transactions and approvals in accordance with UQ Policy, including reconciling Head of School's corporate credit card, and accurate record keeping.
- Assist in the planning, and coordination of School projects and events for the School, as required.
- Assist UQ Recruitment with recruitment of staff, including coordinating interview panels, coordinate HR reporting requirements etc.
- Ensure documentation for appointment, re-appointment and expiry of staff, Honorary and Adjunct, and Visiting Scholar appointments is completed in a timely and accurate manner.
This is a full-time (100%), fixed-term position for up to 4 months to cover long service leave.
At HEW level 5, the full-time equivalent base salary will be in the range $74,378.89 - $82,842.92, plus a generous super allowance of up to 17%. The total FTE package will be up to $87,023.30 - $96,926.22 annually.
About You
- A bachelor's degree with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training.
- High level of organizational skills, including the ability to prioritise competing work demands and meet deadlines, whilst maintaining accuracy and attention to detail
- Advanced stakeholder management and engagement skills including building and maintaining relationships, negotiation and conflict resolution
- Ability to work independently with initiative, judgement and confidentiality.
