As our business grows, we're looking for a skilled and proactive Executive Operations Assistant to lead and elevate our day-to-day operations. This role is critical to the successful delivery of our business goals, and you'll work closely with the company's founder/Director to make it all happen.
You'll take charge of managing operations across the business – systems, people and priorities. You'll be responsible for building and maintaining structured processes, streamlining workflows, leading meetings and supporting the team to achieve goals. This is your chance to utilise your organisational skills, build strong internal rhythms and make a meaningful impact.
Here's the deal… We're a Monday to Friday team, with half the week work in office, and half flexible or WFH. We value balance and will work with you when life calls - as long as you're results-driven, proactive, and able to manage your time and responsibilities independently.
If you are interested in property, you'll be exposed to all aspects of the property development industry.
You'll be
Helping the team achieve goals according to our 10 year plan and strategic vision
Preparing contracts and essential documentation for projects, suppliers, investors, and key business functions.
Leading internal meetings, setting agendas and keeping the team focused on key priorities
Delegating tasks, following up on deadlines and holding the team accountable to ensure nothing slips through the cracks
Managing the Directors calendar and inbox – scheduling meetings, flagging key emails and keeping communication streamlined
Overseeing day to day office operations and ensuring the business runs smoothly
Creating and refining systems, processes, checklists and procedures that support business growth
Assisting with the maintenance of project boards and scheduling tools to keep everyone aligned
Supporting the CFO with key information for cash flow projections and reporting
Documenting work tasks and translating them into repeatable procedures
Providing high level administrative support to the Director as needed
Thinking ahead and identifying opportunities to improve efficiency and clarity across the business
Being the right hand to the Director – staying one step ahead and lightening their load wherever possible
Everything else that makes up an Executive Operations Assistant ass-kicker.

Is proactive, focused and knows how to get things done
Can juggle multiple priorities without letting anything drop
Has strong time management and administrative skills
Has experience managing a director's calendar, scheduling meetings and staying ahead of conflicting priorities
Is confident managing a busy inbox – flagging priorities, drafting responses and keeping things moving
Communicates clearly and works well with others
Is willing to work hard but also able to help us find ways to work smarter everywhere possible.
Enjoys solving problems and creating smarter ways to work
Is looking for a role where they can make a big impact and grow with the business
Administration skills such as typing, and computer skills are required. Note we use the Google Suite, Microsoft Office, Dropbox, and Monday.com.
Previous experience in operations, EA support or a leadership/admin role
