ABOUT US

Benara Nurseries is one of Australia's largest wholesale production nurseries, located on a 147-hectare site in Western Australia. Established in 1963, we are a family-owned and managed company, now with four generations actively involved in the nursery. Combined, the owners have over 300 years of experience in producing plants for the horticultural industry.

We supply premium-quality plants to landscapers, retailers, developers, and local government. Our success is built on strong values, dedicated people, and our commitment to excellence in plant production.

ABOUT THE ROLE

We are seeking Part-Time Permanent Executive Assistant located on-site at our Head Office in Carabooda, north of the river. We would be looking for an individual who can work the hours of 9:00am – 2:30pm Monday to Friday. Personal transport is essential as the site is not services by public transport.

The Executive Assistant provides high-level administrative, organisational and coordination support to the Directors of Benara Nurseries and its associated entities. You will play a critical role in ensuring leadership calendars, operational meetings, and governance routines run smoothly and efficiently.

Key Responsibilities

This position requires exceptional attention to detail, strong communication skills, and a high level of competency in working with Microsoft Office and digital collaboration platforms. You will liaise across internal teams and external stakeholders, handle confidential information, and support strategic projects that help drive business performance.

Director & Leadership Support

* Manage and maintain complex calendars for Benara Directors, coordinating meetings across the Nursery.
* Plan schedules proactively around operational cycles, seasonal requirements, and executive governance timelines.
* Prepare briefing notes, agendas, summaries, and relevant documentation for Directors.
* Coordinate travel, logistics, and site visits across Carabooda and other stakeholder locations.

Executive & Operational Meeting Coordination

* Schedule all Executive, Operational, Departmental, and Project meetings (including ERP/Agriware, HRIS, Production, Finance, and Property development).
* Prepare and circulate structured agendas in advance of meetings.
* Attend key meetings to take detailed, accurate minutes and record decisions and action items.
* Distribute minutes promptly and maintain a centralised action register, following up with stakeholders to ensure timely completion.
* Oversee the preparation of meeting packs, including coordinating contributions from departments, quality checking documents, and issuing complete packs on schedule.

Internal Communication & Stakeholder Coordination

* Act as a primary point of contact for all scheduling and administrative matters relating to the Directors.
* Liaise across Production, Propagation, Dispatch, Finance, HR, ICT, and external advisors to coordinate meeting content and logistics.
* Ensure confidential and sensitive commercial, personnel, and group information is handled with discretion.

Administrative & Office Support

* Provide high-quality administrative assistance, including professional document drafting, formatting, and version control.
* Organise digital files, maintain governance documentation, and support annual meeting calendar management.
* Assist in the administration of key projects and change initiatives (e.g., ERP, HRIS, Finance and Operations projects).
* Support consistent adoption of new administrative processes and templates.
* Perform general ad hoc administrative duties as required.

Skills and Experience

Essential:

* Demonstrated experience as an Executive Assistant, Personal Assistant, or senior administrative coordinator.
* High level of skill in Microsoft Office applications (Word, Excel, PowerPoint, Outlook), including:

* Professional formatting and advanced document layout

* Creating and editing tables, charts, and templates
* Managing shared calendars and group scheduling
* Preparing slide decks and meeting packs
* Strong command of SharePoint, OneDrive, Teams and other digital collaboration tools

* Excellent written communication skills, especially minute-taking, agenda preparation, and correspondence.

* Exceptional organisational skills with an ability to manage competing priorities.
* Ability to work effectively across all levels of the business, from operations to Directors.
* Proven ability to maintain confidentiality.

Desirable:

* Experience in the horticulture, agricultural, manufacturing, or operational sector.
* Familiarity with Board/Advisory governance processes and meeting pack preparation.
