A leading global investment bank is seeking an Executive Assistant for an initial 12-month contract with view to turn permanent. The ideal candidate will ideally have 5+ years' EA/ PA/ TA experience ideally from financial services or professional services firms, along with strong communication skills.
This role will be based in the office with maximum 1 day WFH per week.
Key responsibilities:
- High touch calendar management; coordinating and scheduling internal and external
meetings, including time zone management
- Considerable scheduling of (international and) domestic travel, including all on ground
logistics
- Complex expense processing using concur
- Communicating and interacting internally with all levels of the division and across
business functions, finance, human resources, and technology, as well as externally with
clients and their teams
- Organising internal and external events, requiring organisation of approval, invites, rsvp
management and function logistics
- Quickly learning and keeping up to date on systems
- Performing diverse, advanced and confidential administrative support functions including
composing, signing and sending correspondence on behalf of your MD / the company
- Managing a large team of varying level bankers and a number of different and often
conflicting objectives, projects or activities at one time.
- Involvement in high‐level client contact and exposure to sensitive information, must use
considerable tact, diplomacy and judgment
- Comprehensive phone coverage and broader EA team support
- Serving as a resource for basic company policies and procedures
Experience:
- 5+ years Investment Banking or financial services support experience, executive‐level
support preferred
- Strong attention to detail, ability to work effectively under pressure and with time
constraints
- Polished and professional phone and email communications
- Significant time management, organisation, multi‐tasking and prioritisation skills
- Concur or similar experience processing travel and expenses
- Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
- Exemplary demonstrated work ethic
- Ability to learn quickly and take on new responsibilities
