Our goal is to ensure short term rentals remain a valued and respected part of Australia's accommodation offering and ensure local communities continue to thrive, creating jobs and livelihoods for many people living in Australia and New Zealand.PositionAbout the roleWe're looking for a highly organised, proactive and solutions-driven Executive Officer to support ASTRA's operations and help drive our impact across the short term rental industry.
This is a hands-on role that combines strong administration, project coordination, and stakeholder support.
You'll report to the General Manager and work closely with our Board, committees, valued members and partners.You'll need to be detail-oriented, confident managing multiple workstreams, and comfortable taking initiative.
We're looking for someone who thrives on execution, takes ownership of tasks and projects, and can think independently and creatively to improve how we operate.This role also plays a critical support function in ASTRA's advocacy efforts - helping to coordinate and organise relevant materials, update our website and intel bank, and assist with events, meetings, and policy communications.Key responsibilitiesMember Services & CommunicationsRespond promptly and professionally to member enquiries.Manage the CRM system; keep member records accurate and up to date.Support onboarding, renewals, reports, and monthly communications.Coordinate ASTRA newsletters, event invites, and member updates.Administrative & Operational SupportProvide administrative support to the GM, Board, and Committees - scheduling, agendas, minutes, documents.Monitor and manage ASTRA's general inboxes and LinkedIn page.Organise and maintain digital filing systems (Google Workspace, phone, CRM, etc.)Ensure day-to-day operations run smoothly and efficiently.Project & Event CoordinationAssist in delivering webinars, online and in-person events, including the Annual General Meeting.Support project execution and workstreams led by the GM or committees.Advocacy & Secretariat SupportAssist in compiling advocacy materials and briefing documents.Update ASTRA's intel bank, submission log, and website with current policy updates.Coordinate schedules, stakeholder lists, and communications for ASTRA's advocacy work.Marketing & Communications SupportUpdate ASTRA's website and social media channels with content and announcements and manage the social media content schedule.Assist in drafting and distributing marketing materials, newsletters, presentations, and reports.Coordinate marketing efforts aligned with ASTRA's priorities and Committee's work.Assist with invoice processing and payment tracking.Reconcile Stripe payments in Xero monthly.Experience and qualificationsDemonstrated success in a similar role, ideally in a membership, association or not-for-profit environment.Strong administrative, organisational and project coordination skills.High attention to detail, problem-solving ability, and a "get-it-done" attitude.Confident working independently while also collaborating with a broader team.Experience using CRM systems, Google Workspace, MailChimp, SurveyMonkey.Excellent written and verbal communication skills.Ability to manage multiple priorities, deadlines and stakeholders.Understanding of SEO, website content updates, and social media management (LinkedIn, Facebook, WhatsApp, Instagram).
Experience supporting or coordinating advocacy/government relations work is a plus.Position detailsThis is a part-time, remote Executive Officer position offering flexible work arrangements on a 12-month contract basis.
The role requires 25 hours per week and the contract engagement fees are negotiable.Candidates must operate as independent contractors with a current ABN, professional indemnity insurance, and public liability insurance.
