The Fund Services team provides trustee/custodial services to client trusts which invest into diverse assets such as property, credit, cash, fixed interest, venture capital assets etc.
The Operations Administrator is a key member of the Fund Service team, overseeing and maintaining the daily administration tasks of the Funds Services Trusts.
The Operations Administrator will monitor all relevant inboxes and attend to all operational requests of clients and service providers in a timely manner whilst undertaking relevant operational support for the Managers in the team.
The Operations Administrator will work closely with the Head of fund servicing, Senior Managers, Managers and key business stakeholders to ensure all trust data is up to date.
Responsibilities
§Provide ongoing administrator support for client’s access to the various banking platforms – resetting passwords, setting up view only access and/or payments entry permissions, removing view only access and/or payments entry authorisation.
§Assist clients with their daily Trusts management such as Informing and educating clients about ongoing requirements and procedures – such as our signing processes, AMAL’s POA, payment instructions, templates.
§Attending to client requests and ensuring all relevant communication regarding the Trusts are distributed to the clients in a timely manner.
§Generate and distribute transaction reports for client’s bank accounts as requested. Reconciliation of bank account statements for clients as required.
§Liaise with clients, lawyers, accountants, auditors and the ATO to resolve Trust matters.
Work with bank relationship managers about ongoing account matters – account fees, historical statements, interest rates, account amendments on behalf of the Trusts.
§Assist Managers in the onboarding phase such as apply for and organise ABN, TFN, GST. Open Bank Accounts, load onto banking platform, arrange client access, inform payments team of onboarded Trusts.
§Update and Maintain client date on RAM including providing client and tax agent relevant access, updating mailing addresses, following up outstanding BAS/IAS/ITR, adding Authorised Contacts. Also managing PPSR records for the Trusts file and safekeep tokens and verifications statements.
§Work on and manage allocated projects as required such as assisting Risk & Compliance in the distribution and collection of compliance documentation as required.
§Monitor and manage all relevant inboxes for the team.
§Ensure documents and Trusts data are update to date and filed correctly in a timely manner. Collect relevant Trusts data such as monthly GAV figures and Unit Registers and updating internal records.
§Liaise with Payments team as to ensure timely and accurate processing of payments as required. Review and approve payment instructions accordingly.
§Review and approve monthly Unit Prices & Reports on behalf of the Trustee.
§Arrange the execution of Fund documentation including liaising with Senior Management, Public Officer and Directors.
§Ensure all clients are appropriately onboarded into the ZOHO payments portal.
Qualifications
§Funds operations experience is preferred but not required.
§Law/Business/ Accounting/ Economics degree preferred but not required.
§Client management skills and experience required

§Exceptional stakeholder and relationship management skills
