Job Description:
Must live locally to Drouin/Warragul Vic area, We are seeking a friendly, Highly experienced, professional, capable office manager to join our growing plumbing business (based in Drouin Victoria) on a work from home basis. This is a fast past position that requires a leader with an organized character who has a high attention to detail and runs a tight ship. You will be in charge of making sure the system runs smoothly. As the first point of contact for our clients you will be responsible for providing excellent customer service and creating a positive first impression for the business while booking and scheduling jobs on the front line. Handling all admin as required to support clients and ensure scheduling runs smoothly. You will need to be available to attend toolbox meetings and trainings locally in Drouin Vic and meet with our team when required. Ability to learn and follow processes is a must. You will have a part time admin support for 5 days a week for the busy morning period 3-5 hours per day, afternoons are less busy. This is a position where the right applicant can make the job their own and help shape the direction of the business.
Responsibilities:
* Answer phone calls, convert into sales.
* Liaise with customers, staff, and suppliers.
* Schedule jobs in job management system, book sales site visits
* Assist with general administrative tasks as required.
* Invoicing, reconciling, pay runs.
* Weekly reporting and data recording.
* Assisting plumbers in the field to coordinate and organise jobs and clients
* handling emails and inbox for all online enquiry, to prioritise and schedule accordingly.
Requirements:
* Excellent communication (both verbal and written) and interpersonal skills.

* Great attention to detail.
* Self-starter
* Suitable space in your home, away from living space noise, to work from. This role is not based at our factory/ office - Work From Home, may be in the office later.
* Must have own home office set up and computer.
* Reliable internet connection and strong mobile reception.
Essential skills:
* Experience as an office manager is a must, front office representative, or similar role in a trade environment.

o Job management software/service mate, scheduling experience
o Web based phone systems/service core etc
o Xero
o Microsoft Office and other relevant software applications.
* Based in or around Drouin (Victoria) so you can join in team/ social events/ activities.
* Existing home office setup.
