Key Responsibilities
* Front Desk & Patient Coordination
o Greet patients warmly and manage check‑ins and check‑outs efficiently.
o Schedule, confirm, and manage appointments using dental practice software.
o Manage appointment recalls, cancellations, and rescheduling to maintain optimal booking efficiency.
o Handle incoming calls, emails, and messages promptly and professionally.
o Ensure all patient details, treatment notes, and correspondence are accurate and up to date in the system.
o Liaise with patients regarding treatment plans, cost estimates, and payment options.
* Financial & Payment Handling
o Take and process patient payments via EFTPOS, HICAPS, and cash.
o Manage health fund claims and gap payments through HICAPS.
o Generate and issue receipts, invoices, and end‑of‑day reports.
o Monitor and follow up on outstanding accounts and manage debt collection procedures in line with clinic policy.
o Assist in preparing superannuation release applications and supporting documents for eligible patients.
o Reconcile daily transactions, ensuring all payments match with practice software and bank settlements.
* Insurance, Medicare & DVA Claims
o Submit and manage Medicare and Department of Veterans' Affairs (DVA) claims accurately and in a timely manner.
o Track claim rejections and resubmissions to ensure successful payments.
o Communicate with third‑party providers and government agencies regarding patient claim queries or documentation requirements.
* Laboratory & Clinical Coordination
o Coordinate with dental laboratories for sending and receiving lab work such as crowns, bridges, dentures, and aligners.
o Maintain clear lab records with tracking of dispatch and return dates.
o Communicate with clinicians regarding lab cases, due dates, and patient readiness.
o Ensure all lab items are stored, labelled, and delivered efficiently.
* Patient Follow‑ups & Administrative Support
o Conduct follow‑up calls for post‑treatment care, outstanding treatment plans, and recall appointments.
o Maintain patient recall systems and contact lists to ensure continuity of care.
o Manage correspondence between patients, specialists, and external providers.
o Assist with report preparation, scanning, and filing of documents.
o Keep on top of all ongoing patient jobs, ensuring treatments are progressing according to schedule and patients are kept informed.
* Skills & Attributes
o Excellent communication and interpersonal skills.
o Strong attention to detail and ability to multitask in a busy environment.
o Sound knowledge of Dental4Windows or Dental4Web (or similar dental software).
o Understanding of dental terminology and treatment item numbers (advantageous).
o Experience with HICAPS, Medicare, DVA, and superannuation claim processes.
o Professional presentation and a caring, patient‑focused attitude.
o Ability to work autonomously and as part of a small team.
