Role purpose
We’re currently seeking an experienced Administration Manager to join our team. In this role, you’ll provide high-quality service and accurate financial administration of expenditure and income transactions across multiple business units at the centre level.
You’ll play a key part in supporting financial efficiency, delivering professional stakeholder service, and helping bring the Vicinity brand to life every day. Working closely with the Operations Manager, you’ll ensure the accuracy and completeness of the centre’s financial responsibilities while supporting the continuous development of team capability and operational excellence.
Key Responsibilities
Financial & Accounting Responsibilities
* Deliver accurate and efficient financial administration support
* Manage specialty tenant payment allocations and liaise with Accounts Receivable as required
* Process supplier invoices and complete general ledger reconciliations
* Manage procurement, accruals, and purchase orders
* Support forecasting and budgeting in partnership with the Operations Manager
* Manage monthly sales reporting and gross audited sales processes
* Oversee Gift Card administration, reconciliations, and stock management
* Manage tenant billings, recharges, and account reconciliations
* Oversee tenant and non-tenant debt processes and reporting
* Support public liability insurance administration and bank guarantee management
Reporting
* Prepare accurate and timely monthly sales reports
* Assist with Centre, Owner, and quarterly reporting
* Complete internal review reports and reporting schedules
* Manage purchase order and non-tenant debt reporting
Centre Operations Support
* Assist with improving centre presentation standards and minor capital works
* Support Guest Experience teams and assist with customer feedback and complaints
* Contribute to centre owner reporting and operational outcomes
* Support car park administration, including permits, billing, reconciliations, and dispute management
Office Administration
* Cost and budget management within the administration function
* Stationery, mail, courier, lost property, and document management
* Organising catering for meetings and events
* Preparing and distributing memorandums and tenant communications
* Maintaining accurate tenant records and office compliance requirements
* Supporting daily centre administration and asset team needs
* Participating in centre walks, team huddles, and monthly meetings

About You
Essential Experience
* Proven experience in administration with strong financial and accounting exposure
* Experience working collaboratively within teams and influencing positive outcomes
* Background in a customer-focused environment

* Strong financial acumen, including reconciliations, accruals, forecasting, and budgeting
* Excellent organisational skills with strong attention to detail
