We're seeking a dedicated and detail-oriented Executive Assistant to support our founder and play a pivotal role in keeping our organization running smoothly, including assisting with personal appointments and aspects of the founder's life.
Job Description:
Responsibilities
Calendar Management: Create, maintain, and manage executive calendars, ensuring appointments, meetings, and deadlines are coordinated efficiently for both professional and personal commitments.
Administrative Support: Provide high-level administrative support, including document preparation, email correspondence, and managing phone calls for both professional and personal matters.
Travel Coordination: Arrange and coordinate travel arrangements, including flights, accommodations, and itineraries, for both business and personal trips.
Meeting Preparation: Prepare meeting materials, agendas, and follow-up action items, ensuring smooth and productive meetings.
Task Prioritization: Help prioritize tasks and projects to maximize productivity and efficiency for both professional and personal tasks.
Data Management: Maintain and organize critical documents, files, and records for both business and personal matters.
Communication Liaison: Serve as a communication liaison between executives, team members, clients, and external partners for both professional and personal communication.
Problem-Solving: Identify and resolve operational and administrative issues to ensure seamless workflow for both professional and personal tasks.
Project Support: Assist with special projects and assignments for both business and personal requirements as needed.
Qualifications
Proven experience as an Executive Assistant or similar role.
Exceptional organizational skills with meticulous attention to detail.
Strong communication and interpersonal skills.
Proficiency in calendar management and scheduling software.
Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
High degree of discretion and confidentiality.
Proactive and resourceful problem-solving abilities.
Strong computer skills, including proficiency in Microsoft Office Suite.
