About the Role
An exciting opportunity has become available for a Customer Service Officer to join our Maitland Community Care Customer Service Team. This role is crucial in delivering high-quality services to our clients by ensuring the efficient and effective rostering of care. You’ll thrive in a fast-paced environment where no two days are the same, using your problem-solving and communication skills to keep everything running smoothly.
Key Responsibilities
- Schedule our Support workers and Brokers within required timeframes
- Liaise with third-party suppliers to confirm service availability
- Manage roster changes due to planned or unplanned leave
- Communicate service adjustments with clients in a clear and empathetic manner
- Keep all records and documentation accurate and up to date
- Prepare ad-hoc reports as requested by the Team Leader
In this role, your scheduling will take up around 50% of your time, while you’ll also be answering phones, managing emails, and proactively problem-solving. You’ll need to see the bigger picture, think ahead, and be able to juggle multiple priorities while building rapport with clients, staff, and stakeholders.
Office hours are Monday to Friday: 7:30 a.m.–4:00 p.m. or 8:30 a.m.–5:00 p.m. On-call rotation occurs every six weeks from 6:00 a.m. to 9:00 p.m. Including one weekend every six weeks. One work-from-home day per week is included.

You’re highly organised, tech-savvy, and thrive under pressure. Most importantly, you’re passionate about helping others and enjoy working as part of a team.
You will also bring:
- Strong computer literacy with the ability to work across multiple client management systems
- Excellent interpersonal and communication skills with a warm, approachable style
- Exceptional organisational and time management skills
- A solution-focused mindset and robust problem-solving abilities
- High attention to detail and data entry accuracy
- Ability to work independently while contributing to a collaborative team environment
- Proficiency in Microsoft 365 (Teams, Word, Excel)
- Previous experience in rostering or scheduling (community services experience highly desirable)
