We are expanding our administration team and are seeking an experienced and pleasant medical receptionist to join our team and grow the business into the future.
**Responsibilities include**:
The following duties are to be carried out in conjunction with the Practice Policy and Procedures manual where applicable.
- Welcoming and assisting patients with enquiries and appointments in a courteous and efficient manner
- Open and close the clinic as per set procedures
- Answering incoming calls, managing multi-phone lines and responding to telephone enquiries in a courteous and professional manner
- To issue patient invoices/receipts and bulk-bill to Medicare, as required
- To enter and update patient registrations/demographics and patient notes in the computer
- To exercise absolute confidentiality and discretion in all clinic and patient matters
- Liaising with various medical staff, varying from Doctors, Nurses and Allied Health staff
- To deal with referring doctors, hospital staff, pharmacists etc, courteously and helpfully
- To deal with emergencies where necessary, following set procedure
- Transfer investigation calls to practice nurse, or take a message. Ensure abnormal result policy is adhered to
- Accurately process patient payments via EFTPOS (HICAPS), cash, and direct debit transactions
- Ensure patients are informed of possible delays if doctor is running behind
- Maintain cleanliness of reception and waiting area so it is tidy and welcoming
- Fill in personal fortnightly time sheet with start, finish and break times
- Support the day-to-day operations of the medical centre
**Administration**
- Preparing and recording outgoing mail and posting
- Open, scan and distribute incoming mail
- Scanning patient correspondence, results etc and allocating to treating practitioners' inbox
- Maintain patient information, inactivate patients no longer attending and deceased, updating current information, linking family members including head of family for children, and unlinking independent children, archiving
- Maintain the availability of all Practice Information sheets for patients on display
- Balance receipts and banking daily
- Other duties_
- To actively participate in general staff meetings, as required
- General housekeeping such as tidying and cleaning of waiting room etc, when necessary
- To undertake other duties as required from time to time by the Practice Manager, Nurses and Doctors
- Knowledge of occupational health and safety principles including infection control
- Consistently be aware of OHS requirements and comply with them

**Essential**
- Knowledge of medical software
- Basic knowledge of MS Word and Excel
- Completion of an accredited medical receptionist course/knowledge of medical terminology/knowledge of Medicare items
- Minimum of one years' experience in medical receptionist/secretarial role
- Desirable_
- Knowledge of Best Practice software
- CPR/Triage training and/or experience
- Experience with specific social groups serviced by practice, such as adolescents, aged care, aboriginals and Torres strait islanders, migrant or refuge groups etc.
- Training and/or experience in management of emergencies, handling complaints
- Medicare & health funds, basic infection control, safe handling and disposal of medical waste etc

However, it is expected from time to time that our staff will work extra time on occasions if this is required to deliver essential patient care.
