We are seeking an organised and proactive Personal Assistant to primarily support our lead doctor, ensuring smooth operations across administration, technology, and clinical workflows.
Role Overview
As the Personal Assistant to the Doctor, you will be the right-hand support for our lead clinician, managing schedules, communications, and operational systems. You will act as a central point of contact for staff, practitioners, and patients while supporting strategic projects, compliance, and business initiatives.
Key Responsibilities
Executive / PA Support
* Provide dedicated support to the doctor, managing diaries, clinic schedules, bookings, and competing priorities
* Act as the doctor's primary point of contact and gatekeeper
* Draft, edit, and manage professional emails, documents, and correspondence on behalf of the doctor
* Coordinate travel, meetings, and multi-site commitments
Technology, Systems & Digital Operations
* Manage and optimise booking systems, medical software, and patient databases
* Set up and maintain digital workflows for administration and clinical operations
* Organise and maintain cloud-based documents (credentials, compliance, patient records)
* Support website updates, service listings, and practitioner information (preferred)
* Troubleshoot system, scheduling, and process inefficiencies
* Act as the link between clinical needs and technology solutions (preferred)
Operations & Implementation
* Optimise workflow to enhance service delivery
* Implement and refine systems, processes, and SOPs
* Support staff and contractors operationally
* Ensure accountability for deliverables and act as a point of reference for operations
Communication & Brand Management
* Act as the central communication link between the doctor, staff, practitioners, and patients
* Manage announcements, availability notices, and service updates
* Support website content, patient emails, and clinic communications (preferred)
* Ensure consistency, professionalism, and brand alignment across all touchpoints
Projects & Strategic Support
* Assist with business initiatives, new clinics, and service expansion
* Support onboarding of new doctors and practitioners
* Prepare documents, proposals, agendas, and operational plans
Compliance, Credentialing & Insurance
* Manage practitioner credentials, training certificates, and renewals
* Liaise with insurers, colleges, and regulatory bodies
* Support applications, underwriting requests, and professional documentation
* Ensure all services and practitioners meet compliance requirements
About You
* Highly organised, proactive, and detail-oriented
* Excellent written and verbal communication skills
* Strong digital literacy and experience with booking systems, databases, and cloud-based document management
* Ability to manage multiple priorities and maintain professionalism in high-pressure situations
* Two years prior experience in PA / Administration
* 4 days a week, full-time capability
* Comfortable working closely with and supporting a senior medical professional
