About the Role
This experienced CSO/Associate role is a great opportunity for someone who is looking for work flexibility, passionate about working in the Financial Advice industry, and has a strong desire to primarily support our small, tight-knit team split between Murrumbeena and StKilda.
The CSO/Associate is primarily responsible for supporting the review, implementation, and ongoing administration of clients' financial strategies. These tasks include coordinating review meetings for both new and existing clients, managing the implementation of all advice related strategies, inclusive of insurance, maintaining accurate client data and records, producing correspondence and reports and delivering high-quality customer service.
The focus of the role is to provide high-quality service while supporting client retention and new business referrals. The associate is not required to be licensed to provide advice, however a moderate level of technical knowledge is desirable, along with a genuine interest in advancing towards a career as a Financial Adviser.
* Business, Commerce, Finance related degree or Graduate diploma of Financial Planning required
* 2-3 years' experience as an Associate/CSO
* Genuine interest in advancing your career within the Wealth management industry as a Financial Advisor
* Has excellent relationship management and administrative skills
* Has a passion for personal growth and a sincere desire to assist clients with achieving their financial goals
* Great energy and highly motivated to achieve growth and meet deadlines
Key Responsibilities and Tasks
Management of Advice
* Contacting clients to provide quarterly, half yearly and annual reviews as part of their serviced agreements
* Commence implementation of new business within service level agreements
* Implementation of reviews within service level agreements
* Complete file completion checklist within 2 weeks of implementation completion
* Ensure data feeds are established and mapped for all clients following SOA/Review implementations
* Liaise with Advisers and our Joint Venture accountants to facilitate meetings
* Implementation of review and ad-hoc advice through Record of Advices and Execution-only documents
* Maintain effective communication with advisers regarding the status of work in progress
* Maintain comprehensive notes regarding review of advice and ad hoc tasks in line with compliance guidelines
* Liasing with external third parties to facilitate data collection for clients' existing funds/insurance/investments
* Controlling pipeline of review bookings within a calendar year for business optimisation
* Preparing documents necessary for the clients' review meeting
* Liaise with paraplanners to ensure correct documents are prepared for meetings and provided to advisers on time
Administration & Compliance
* Update client records and workflow items on Salesforce and XPLAN (eg. client assets, contact details, thread tasks, etc)
* Liaise with paraplanners to ensure correct documents are prepared for SOA meetings and provided to advisers on time
* Ensure client documentation is filed correctly and in line with compliance requirements
* Ensure clients receive fee disclosure statements as required by FOFA
* Ensure compliance checklist is completed and any issues followed up on
* Follow procedures in line with company and licensee guidelines and report any perceived concerns/risks to management
* Ensure systems are updated to report revenue accurately
* Conduct screening of clients to meet AML/CTF obligations as per AUSTRAC
* Ensure screening of clients for PEP
* Adhering to internal checklists within recommended SLAs
* Upload of Fee forms to Licensee and product providers to ensure revenue is received.
* Adhering to the Cash Transfer Policy for all client cash transfers
* Provide a point of contact for clients. Answer incoming calls, handle non-advice queries such as current client insurance policies and claiming tax deductions on contributions.
* Follow up and return calls within acceptable timeframes
* Collaborate with our internal and external network of professionals to assist with client enquiries.
Teamwork
* Assist with ad hoc projects as required
* Assist team members with workflow when able
Education & Development
* Attendance and contribution in internal training sessions (e.g. fortnightly technical training)
* Attendance and contribution in weekly administration meeting
* Develop and maintain a reasonable technical competence of required systems, software, and platforms
