About the Role
A full‐time opportunity in District 15 Ballarat. The Brigade Administrative Support Officer provides high‐level customer service and administrative support to the assigned Brigade, its volunteers and the community, working in line with CFA's strategic goals.
Key Responsibilities
* Provide administrative support to Brigade Management Teams to help them deliver services to volunteers across District 15.
* Complete general administrative tasks such as preparing documents, maintaining records, and entering data using CFA systems.
* Stay up to date with CFA Standing Operating Procedures, EMV Joint Standing Operational Procedures, and relevant CFA policies, procedures, and regulations.
* Handle private and sensitive information in line with CFA and Victorian Government privacy and information management requirements.
Volunteer Support
* Provide administrative support to Brigade Management Teams and volunteer brigades, including recruitment, retention, and general operations in line with the EBA and position description.
* Support administration for brigade activities, including asset purchases and sales, fundraising, grants, and fleet management, acting as the liaison with CFA.
* Assist with the replacement of Personal Protective Clothing and Equipment and coordinate collection and delivery of operational supplies from District stores.
* Ensure brigades have correct templates, stay updated on CFA administrative requirements, and submit building maintenance requests with appropriate approvals.
* Support pre‐season readiness activities and audits to ensure brigades are operationally prepared for the Fire Danger Period.
* Attend brigade meetings, events, and training sessions as required, including after hours.
Community Liaison
* Help brigades access fire safety publications and information through Community Engagement Coordinators.
* Support brigades' participation in local Community Safety events.
* Assist brigades with setting up and managing social media.
About You
* Experience and understanding of working within a volunteer environment.
* Demonstrated knowledge and experience in modern administrative and information management.
* Excellent written and verbal communication skills.
* Capability to work with limited supervision and deliver within required time frames.
* Experience or qualifications relevant to meeting the requirements of this position are essential.
* Prepared on occasion to participate in Incident Management support roles appropriate to experience and qualifications.
