The role
As the People & Culture (P&C) Coordinator, you are an enabler – helping keep our people processes running smoothly so everyone at Assembly Four can focus on work that furthers our mission of supporting sex workers worldwide.
You split your time between recruitment coordination and P&C operations: supporting interview scheduling, candidate communication and onboarding, while also helping maintain our day to day P&C rhythm through accurate data management, simple process administration and timely responses to team member queries. In this role, you contribute to the foundations of our P&C infrastructure – the tools, processes and routines that our team members feel in their everyday experience at Assembly Four
What you'll do
General Administration
* Offer day to day assistance to employees by responding to queries about leave, policies and general HR processes, escalating where appropriate.
* Support team members across Assembly Four with HRIS-related queries and troubleshooting.
* Provide support with ongoing projects and process improvements within the P&C team such as the performance review process or coworking space optimisation.
* Support managers with onboarding and offboarding coordinating between different teams and departments to ensure all paperwork is complete and sessions are scheduled.
* Support team engagement and development initiatives by organising and supporting employee events.
* Prepare and appropriately store contracts, variations and other employee lifecycle documents.
Recruitment Support
* Coordinate recruitment logistics by liaising with hiring managers, interviewers and candidates to schedule interviews, manage calendars and resolve any clashes promptly.
* Collaborate with hiring managers and talent acquisition to support the end to end recruitment process, ensuring a great experience for all.
* Post roles on external job boards with attention to detail, ensuring accuracy.
* Occasionally assist in screening applications from various job boards.
* Proactively ensure clear, timely communication with candidates throughout the process, anticipating their needs and addressing concerns promptly.
* Contribute to a welcoming and respectful recruitment journey, helping candidates feel valued regardless of the outcome.
* Assist with offer preparation and pre-employment documentation, ensuring accuracy and compliance.
Your background
* Around 2 years' experience in recruitment coordination, HR administration or similar.
* Experience supporting recruitment processes (posting job ads, scheduling interviews, communicating with candidates).
* Experience working in a fast‐paced environment, ideally in a growing, remote-first organisation.
* Comfort responding to day to day employee queries with clear, friendly, and professional communication.
* Good organisational and time‐management skills, able to handle multiple tasks and priorities
* Strong attention to detail and accuracy.
