Job Purpose
To provide comprehensive contract administration support with a focus on engineering, environmental and survey contracts, ensuring contract reviews comply with Fyfe's playbook and all contractual obligations are met, compliance requirements are maintained, and stakeholders receive timely legal guidance on routine matters.
Scope
This role operates within the legal/compliance function and serves as a key liaison between internal stakeholders and external legal counsel. The position encompasses end-to-end contract administration, compliance monitoring, and advisory services for engineering, environmental and survey contractual matters. The Contract Specialist will handle routine legal matters independently while escalating complex issues to senior management or external legal advisors as appropriate.
The Role Contract Review and Administration
* Review, analyse, and administer engineering, environmental, and surveying contracts to ensure accuracy, compliance, and alignment with company policies.
* Maintain comprehensive contract databases and filing systems.
* Monitor contract milestones, deadlines, and renewal dates.
* Prepare contract summaries and reports for management review.
Stakeholder Advisory and Support
* Provide practical and commercial advice and guidance to internal stakeholders on contractual matters, compliance requirements, and company policies.
* Respond to stakeholder queries regarding contract interpretation and obligations.
* Support business units in understanding contractual rights and responsibilities.
Legal Liaison
* Identify complex legal matters requiring external legal counsel.
* Coordinate with external legal advisors and manage referrals.
* Brief external counsel on matters and facilitate information exchange.
* Manage external legal invoices and budgets.
Negotiation and Client Relations
* Negotiate contract terms and conditions with clients under supervision.
* Draft and propose amendments to standard contract terms.
* Facilitate communication between clients and internal teams during negotiation processes.
Compliance and Policy Review
* Review and assess existing compliance frameworks and company policies.
* Identify gaps or areas for improvement in compliance procedures.
* Ensure contracts align with current regulatory requirements and industry standards.
* Monitor changes in relevant legislation and regulations.
NDA Management
* Review, draft, and respond to Non-Disclosure Agreements (NDAs).
* Manage NDA approval processes and maintain NDA registers.
* Advise stakeholders on confidentiality obligations and best practices.
Health, Safety and Environment
* Follow WHS policies and procedures and cooperate with measures introduced in the interest of workplace health and safety.
* Immediately report any matters which may affect workplace health and safety or may pose a hazard or potential risk to direct manager and HSEQ team.
* Undertake any training provided in relation to WHS.
* Develop a safe work environment by controlling, directing and monitoring work practices within area of responsibility.
* Ensure all work undertaken in area of responsibility is done within Work Health & Safety (WHS) legislation and using safe work practices.
* Take reasonable care of own Work Health & Safety and that of others in the workplace.
* Constantly review safety working procedures and practices within area of responsibility.
Education
Legal/Paralegal qualification or relevant legal studies (Diploma of Paralegal Services, Diploma of Legal Services, Bachelor of Laws or equivalent).
