Primary objective
The Executive Administration Assistant provides secretarial and administrative support to the regional management team
and assists with the delivery of repairs and maintenance and project administration for the Department.
Key duties and responsibilities
1. As first point of contact with the Department, receive client enquiries by phone, email and in person and address/direct
as appropriate.
2. Provide administrative and secretarial services to support the regional management team, including maintaining
administrative systems, correspondence, reporting and other corporate requests.
3. Managing a range of procurement functions including travel arrangements, purchasing and processing credit card
transactions.
4. Coordinate travel and meeting arrangements, fleet management and repairs and facilities management as required.
5. Prepare and disseminate agendas, minutes, notes and other routine correspondence and reports.
6. Provide assistance with a range of financial and project programming matters and undertake assigned research tasks.
7. Undertake Urgent Minor Repairs tasks, project administration and other administrative tasks as required.
Selection criteria
Essential
1. Well-developed interpersonal, oral and written communication skills, with a demonstrated ability to communicate in a
friendly, professional and effective manner.
2. Demonstrated organisational and self-motivation skills and the ability to prioritise workloads and complete tasks
concurrently to meet deadlines.
3. Demonstrated experience in office procedures, including arranging travel, payment processes, collating data, reporting
and records management.
4. Well-developed computer literacy skills, including experience with various office applications such as Microsoft Word,
Excel and Outlook or similar; and records and finance systems.
5. Demonstrated ability to deliver high standards of client focus, thoroughness, attention to detail and accuracy.
6. Ability to maintain confidentiality and use sound judgement, tact and discretion.
