Our Federal Government client is seeking to engage a Executive and Administrative Assistant on a contract for 6 months.
Position Overview
Under general direction and guidance:
Provide comprehensive and high-level administrative support to the Executive General Manager, one or more of the General Managers and all staff of the Division.
Manage complex diaries. Anticipate requirements and initiate the timely provision of material for all meetings and other engagements.
Arrange and acquit domestic travel and accommodation.
Screen telephone calls and action as appropriate.
Arrange meeting venues, video conference bookings and provision of catering as required.
Records management in accordance with approved processes, including coordinating and tracking responses to correspondence to ensure that all deadlines are met.
Inputting data into the project management system and assisting with workflow management
Assisting with management of timekeeping records and reporting
Straightforward budgeting and associated reporting responsibilities, including credit card reconciliation and financial management support.
Provide secretariat support to one or more of the committees the Division reports to.
Assist with regular financial and operational reporting requirements.
Represent the company in a skilled, fair and courteous manner.
Undertake other administrative support duties as required.
Selection Criteria:
Demonstrated experience as an administrative assistant
Demonstrated experience as an assistant to a senior executive highly desirable.
A positive understanding of the company's role, purpose and objectives (or the ability to attain such knowledge quickly).
Experience with Microsoft Dynamics, Microsoft Office and iManage
