Role Purpose

The Installation Coordinator is responsible for the planning, scheduling, and coordination of all signage installation works.

This role ensures that installations are executed smoothly by aligning production readiness, artwork preparation, subcontractor availability, and site requirements.

The Installation Coordinator acts as the central communication link between production, installers, subcontractors, and management to ensure every job is ready, compliant, and delivered on time.


Key Responsibilities

* Schedule and coordinate all installation jobs across multiple sites.
* Develop and maintain detailed installation schedules, including dates, times, locations, and installer allocations.
* Prioritise jobs based on client deadlines, production readiness, and site constraints.
* Coordinate rescheduling due to weather, site access issues, or unforeseen delays.


Production & Job Readiness

* Liaise closely with the production team to ensure all signage is completed and ready at least one day prior to installation.
* Confirm that all components, fixings, and accessories required for each job are prepared and packed.
* Ensure that each job is checked off as "installation ready" before release.


Artwork & Documentation

* Confirm that all artwork, drawings, and specifications are finalised and approved prior to installation.
* Ensure installers and subcontractors have access to the correct drawings, layouts, and installation instructions.
* Verify that site‑specific requirements (heights, fixing methods, power locations, etc.) are clearly documented.


SWMS & Compliance

* Ensure Safe Work Method Statements (SWMS) and all required safety documentation are prepared, current, and job‑specific.
* Confirm that installers and subcontractors are inducted and compliant with site safety requirements.
* Coordinate permits, access approvals, and site inductions where required.


Contractor & Site Communication

* Act as the primary point of contact for installers and subcontractors before and during installations.
* Communicate job details, expectations, and timelines clearly to all parties.
* Resolve on‑site issues promptly in collaboration with the Installation Manager.


Daily Planning & Follow‑Up

* Conduct daily reviews of upcoming installations to confirm readiness.
* Follow up on completed jobs to ensure any defects, variations, or outstanding items are logged and actioned.
* Report progress, issues, and risks to management.


Administration & Reporting

* Maintain accurate records of installation schedules, job status, and contractor allocations.
* Assist with tracking installation costs, variations, and subcontractor performance.
* Support continuous improvement of installation processes and scheduling efficiency.


Skills & Experience

* Previous experience in a coordination, scheduling, or operations role (signage, construction, or manufacturing preferred).
* Strong organisational and time‑management skills.
* Ability to manage multiple jobs simultaneously under tight deadlines.
* Excellent communication skills (written and verbal).
* Strong attention to detail and follow‑through.
* Experience in signage installation or construction environments.
* Knowledge of SWMS, site inductions, and WHS requirements.
* Experience coordinating subcontractors and site‑based works.
* Familiarity with job tracking, scheduling, or project management systems.
