The Women's Centre for Health and Wellbeing Albury Wodonga Inc is an‐not‐for‐profit organisation providing services and support to women by women through feminist action. Services provided include generalist and domestic violence counselling, therapeutic and social group programs, information, advocacy and referral, NILS Loan program, Women's health, legal and employment clinics and Wellbeing activities.
The position requires a background in intake and referral, customer service, reception and administration, abilities in creative problem solving, and time management for a demanding workload.
Experience in working with women survivors of domestic/family violence or the like would be advantageous.
Position Summary
The key function of this position is to provide the necessary support required for a small business, including responsibility for reception, administration, data entry, administrative support to staff and GM, basic IT support and daily office support.
This position requires the development of strong working relationships with:
* Women's Centre for Health and Wellbeing staff, visiting practitioners and volunteers
* Women from the general public
* Suppliers, contractors, and other business to business contacts
* Other organisations, services and networks within the community and more broadly
Specific Accountabilities
Administration Tasks
* Assist in the organization of events and meetings, groups.
* Assist in preparation for Board meetings and AGM.
* Provide administrative support to the GM and Office Manager.
* Order goods and stationery according to Centre budget and guidelines.
* Assist staff with computer issues and systems as appropriate.
* Manage and maintain Our Sisters Closet.
Data Systems
* Maintain statistical data systems—including input and output of statistics as required.
* Maintain other databases as required.
Reception and Intake Duties
* Greet clients as they arrive at the centre.
* Notify relevant staff member that the client has arrived.
* Provide support to services and groups of the Women's Centre for Health and Wellbeing, as required.
* Provide a friendly, welcoming, helpful and safe environment for women attending the Centre.
* Respond to telephone calls and answer machine messages.
* Manage bookings for counselling services and other internal services as required.
* Referral callbacks.
Programs
* Work with GM/OM and group facilitators to email out next term groups information.
* Liaise with clients in regard to programs, e.g., make pre‐group interview times.
* Respond to enquiries from clients and referring workers.
* Maintain client records appropriately to meet legal and best practice requirements.
* Develop and maintain strong working relationships with key partner organisations in order to facilitate client's access to those agencies and services.
Finance Support
* Receipts, small donations, monies, program fees and membership fees.
* Accept EFTPOS payments for services and record in Power Diary.
Communication
* Promote the profile and image of the Women's Centre for Health and Wellbeing through day‐to‐day activities of the position.
* Contribute to the ongoing development of teamwork within the Centre.
* Participate in external supervision.
* Work in partnership with staff to cover reception and respond to clients.
Strategic Contributions
* Participate in strategic activities, as required.
Continuous Quality Improvement
* Attend professional development, training and education.
* Participate in performance management and review.
* Contribute to development and review of policy and procedures relevant to the position.
* Assist in the development of procedures in relation to the position.
* Assist with quality improvement as required.
General Accountabilities
* Attend staff meetings.
* Undertake other duties as required, such as vacuuming/mopping office floors and ensuring office & training spaces and common areas are tidy.
* Adherence to WCHW's Code of Conduct, Statement of Professional Ethics and Policies and Procedures.
* Maintain client‐focused approach to service provision with genuine empathy and interest in client's needs.
Selection Criteria
* Minimum Certificate IV with relevant experience in social work, community services, nursing, health or business administration or an equivalent amount of relevant experience without qualification. Relevant tertiary qualification in social work, community services, nursing, health or business administration.
* Knowledge and understanding of the dynamics, complexities, and legal and social consequences of domestic and family violence.
* Commitment to and understanding of human rights and feminist principles.
* Excellent networking, communication, and interpersonal skills.
* Excellent reception and customer service skills.
* Demonstrated administration and excellent organisational skills.
* Experience working with women experiencing DVF or who have a trauma background.
* Demonstrated abilities with computer programs, Microsoft Office, including Publisher.
* Demonstrated ability to manage time and prioritise duties within the work environment.
* Ability to work independently and as part of a team.
* Adherence to confidentiality and privacy policies.
* Knowledge of health and welfare systems in the Albury/Wodonga region.
* Established professional network within the Albury/Wodonga region.
* Experience in the Not for profit sector.
