St Mary’s Primary School is seeking an experienced and highly organised Administratiion Officer to join our dynamic school community. The successful applicant will work as part of a team in managing the front office of our school. This is a vital role in ensuring the smooth day-to-day operation of the school, providing essential administrative support to the Principal and staff while maintaining a welcoming and professional front office environment.
This job is advertised as a fixed-term contract position, however there is the possibility of the role becoming ongoing.
About the Role
The Administration Officer is the first point of contact for students, parents and visitors, playing a crucial role in communication and school operations.
Position Details
* Part time position 4 days
* Hours of work are 8.00 am to 4.06 pm.
* Experience with platforms such as nForma, PassTab, ICON, Newsletter, Synergetic and/or eSIS would be beneficial. but not essential
Core duties will include:
* Upholding Child Safe Standards and ensuring compliance with policies.
* Maintain confidentiality and sensitivity in all aspects of the role.
* Managing reception duties, phone calls, and correspondence.
* Providing administrative support, including student records management and processing purchase orders.
* Assisting with financial tasks such as receipting, banking and credit card transactions..
* Organising bookings for excursions and events.
* Supporting enrolment processes and promotional activities.
* Proofreading and publishing the fortnightly school newsletter.
* Administering first aid and maintaining office and first aid supplies.
* Maintaining personnel records and payroll systems for staff
* Commitment to personal and team effectiveness
The successful candidate will have experience in office administration and possess the following skills and qualities:
* Excellent people skills
* High attention to detail
* Highly organised with excellent time management
* Excellent communication skills
* High level of computer skills, including experience using an electronic diary management system and a good working knowledge of Word, Excel and Google suite applications is essential
* Prompt and Reliable
* Ability to multi-task
* First Aid certificate is preferred.
* Previous experience in a similar administrative role
* Discretion and confidentiality
* Capable of working independently as well as collaboratively within a team.

* Salary for this position is based on experience in accordance with the Victorian Catholic Education Multi-Enterprise Agreement (CEMEA) as varied from time to time.
