Job Description



We are currently seeking an enthusiastic and organised Service Administrator to join our team on a 12-month fixed term contract. This is a vital role within our Mackay Service team, providing day-to-day administrative support to ensure the smooth operation of our service delivery.

Reporting to the Branch Manager, you will play a key role in supporting the coordination of service jobs, timesheet entry, travel bookings, and general office administration. You will also be part of a rotating reception roster, ensuring professional front-of-house service for both visitors and phone enquiries.

This role offers an excellent opportunity to gain hands-on experience in a dynamic service environment. For the right candidate, there may also be potential to undertake a Certificate III in Business as part of your professional development.

Key responsibilities will include, but are not limited to:

* Providing administrative support to the Service Manager and Supervisors

* Processing timesheets, booking travel, and assisting with workflow coordination

* Processing purchase orders, receipting supplier invoices, and supporting cost tracking

* Participating in the reception roster, including answering phones and greeting visitors

* Managing uniforms, office supplies, and consumables

* Maintaining contractor records and supporting inductions

* Handling document management, mail distribution, filing, and general office upkeep

* Assisting with meeting room setups and providing back-up support to other administrators as required


Qualifications

* Previous experience in an administration or office support role (2–3 years preferred, but not essential)

* Proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel

* Excellent communication and customer service skills, with a professional phone manner

* Strong attention to detail and solid organisational skills

* Reliable, punctual, and flexible with a collaborative approach to work
